We are also on a bus route, with a stop just outside of the hotel, and our complimentary shuttle also picks up our employees from the bus loop at UBCO!
What will you be doing?
- First point of contact for all new inquiries, directing each to the appropriate Sales Manager
- Answer questions from team members regarding events/group bookings as needed
- Prepare all Booking Agreements for Sales Managers & Event Coordinators
- Build groups, monitor and assign inquiries in CI and Delphi- Create Group Bookings & Monitor new inquiries in Sales Platforms
- Track and Issue Marriott Bonvoy and Hilton Honors points post departure
- Assist with Rooming Lists and detailing of Event Orders as requested by Director of Sales & Events
- Manage & Prepare all Sales Promotional Materials as required
- Monitor kickback tracking sheets- Maintain Database for Commission Payments & Account Credits
- Assist with gathering information for reports and other data to assist the Sales Team in proactive selling
- Assist with gathering data for Sales Team complete Month end Reporting
- Complete Commission Pick-Up documents & upload in the Distribution Centre
- Assist with walk in site inspections or drop in clients
- Preparation of all site inspection documents and coordination with operations including day of site inspections, ensure rooms are show ready & welcome beverage is prepared
- Attend meetings in the absence of the Director of Sales & Events and Events Coordinator
- Collaborate on initiatives that support team training and development
- Assist with responding to inquiries for both rooms and catering in absence of Director of Sales & Events
- Represent the company at community tradeshows/events as required
- Works closely with Events & Reservations Coordinators to understand their roles to ensure there is coverage when they are not in the office
- Brings issues to the attention of property leadership, as deemed appropriate
- Additional duties as assigned by the Director of Sales & Events or General Manager
What are we looking for:
- Hotel experience required
- Four Points/Marriott Brand experience an asset
- Strong administrative skills, detail-oriented, self-motivated, and can multi-task
- Exceptional organization with attention to accuracy and problem-solving ability
- Ability to effectively deal with internal and external customers, some of whom will require high levels of patience, tact and diplomacy.
- Ability to stand and/or sit and continuously perform essential job functions for duration of shift with or without reasonable accommodation
- Ability to set-up and maintain filing systems
- Excellent analytical, problem solving and decision-making skills
- Effective verbal and written communication skills. Ability to adapt communication style to suit different audiences. Able to follow written and verbal instructions
- Proficient knowledge of Microsoft Word, Excel, Outlook, iHotelier, Expedia, GDS, Epitome, Opera, Lightspeed and CI/TY , Delphi OnQ, R&I and PEP
