Position Summary:

Position: HSE & Training Coordinator

Type: Fulltime

Location: Fort McKay, Alberta, Head Office

Schedule: 40 Hours per week.Monday to Thursday (Alternating Friday)

Role Summary:

The HSE & Training Coordinator plays a key role in supporting Health, Safety, and Environmental (HSE) initiatives while also providing support to the Learning & Development (L&D) team. The primary focus of this role is to coordinate and track HSE and training programs, ensure compliance with regulatory and client-specific requirements, and support site-level safety activities. Additionally, the Coordinator helps ensure training sessions are well-organized, accurately documented, and aligned with internal standards. They also provide administrative assistance as requested by the HSE Director and Manager, Training.

By managing time-consuming administrative responsibilities, this role enables HSE &Training to focus on execution, content delivery, and the continuous improvement of safety and learning programs.

Primary Responsibilities:

  • Administrative Support:
    • Act as the primary administrative point of contact for the HSE Director.
    • Manage calendars, schedule meetings, coordinate travel
    • Reconcile department credit card monthly through center suite and applicable receipts for both the Director, HSE and Manager, Training.
    • Draft, edit, and format reports, presentations, and summaries as requested.
    • Time entry for all hourly staff within HSE and training.
    • Monitor HSE Coordinator inbox and action promptly as requested.
  • Data Entry & Record Management:
    • Collect, compile, and analyze HSE metrics and KPIs for leadership dashboards.
    • Prepare presentations and status updates for senior leadership and client stakeholders.
    • Maintain digital training records, certificates, and completion log
    • Ensure consistent reporting within EHS Insights.
    • Monitor expiry dates for compliance-based training and tickets
    • Generate reports on training activity, completions, and hours
    • Maintain digital companywide training matrix
  • Training Logistics & Coordination
    • Schedule training sessions and manage calendars for internal and external programs
    • Send session reminders, follow-ups, and attendance confirmations
    • Track no-shows, cancellations, and rescheduling needs
    • Schedule Health Surveillance testing appointments (i.e. audiometric, mask fit and RPE training, etc.)
    • Arrange bookings and communicate with external training providers
    • Track invoices, certificates, and completion records from third-party vendors
    • Maintain list of approved vendors and courses
  • All other duties as required and assigned by the Director, HSE and Manager, Training.

Education & Experience:

  • 3+ years of experience in a coordination or support role, preferably within HSE and/or training.
  • Previous experience supporting senior-level leadership is an asset.
  • Ability to prioritize, multitask, and maintain accuracy under pressure.
  • Strong working knowledge of Microsoft Office Suite (Excel, Word, PowerPoint, Outlook); experience with SharePoint
  • Experience with Power BI, Excel dashboards, or data visualization tools
  • Strong knowledge of safety management systems is an asset.
  • Post-secondary education in Occupational Health & Safety, Business Administration, or a related field is considered an asset.
  • Knowledge of Alberta OHS regulations and COR/SECOR programs.
  • Familiarity with client-specific HSE platforms (e.g., CNRL, Suncor, IOL).
  • Strong analytical and problem-solving skills.
  • Valid Class 5 Drivers License
  • WHMIS 2015
