Job Title: Mailroom Clerk

Position Overview:

We are seeking a reliable and detail-oriented Mailroom Clerk to support daily mailroom operations. The ideal candidate will have strong communication skills, be comfortable working on their feet, and possess basic knowledge of printing, shipping, and mail handling systems.

Key Responsibilities:

• Prepare outbound mail and packages using various carriers (postal, courier, freight, fax).

• Receive, sort, and process incoming mail, packages, and supplies; notify recipients promptly.

• Operate colour production printers for basic print jobs.

• Log and track accountable mail using an automated system.

• Process incoming and outgoing shipments; verify contents and maintain shipping records.

• Arrange alternate courier services to meet specific delivery needs.

• Perform packaging tasks based on standard procedures.

• Operate mail equipment including inserters, sorters, and finishing machines.

• Conduct quality checks on outbound mail.

• Execute charge-back reporting for delivery and communication costs.

• Complete mail merge, labeling, scanning, and electronic distribution.

• Fulfill assembly and packaging requests, including kitting materials.

• Maintain supply inventory and reorder as needed.

• Ensure compliance with mailroom security and safety procedures.

• Deliver and collect mail on scheduled internal runs.

• Troubleshoot and resolve issues with mail or deliveries.

• Recommend process improvements for cost efficiency and workflow optimization.

Requirements:

• High School Diploma or equivalent (Verification required)

• 6 months to 1 year in a professional environment

• Client-facing experience preferred

• Good verbal and written communication skills

• Strong customer service orientation

• Ability to manage multiple tasks with minimal supervision

• Intermediate proficiency in Microsoft Office (Word, Excel, Outlook)

• Comfortable standing for long periods (up to 80% of shift)

• Able to lift/move up to 50 lbs.

• Willingness to learn and adapt in a fast-paced environment

• This is an on-site role based in Markham, Ontario.
