Job Brief:
The Service Administrator supports and aids field technicians by ensuring job tickets are accurate and submitted in a timely fashion for billing.
Duties & Responsibilities:
- Processes and approves daily field tickets in enterprise resource planning (ERP) software system (IFS), ensuring accuracy and coordination with the correct job.
- Monitors Work in Progress (WIP) orders for approvals, provides weekly reporting to WIP managers, and refers accounts with issues to relevant managers.
- Collaborates with branch managers, estimators, and technicians to manage costs, resolve ticket discrepancies, and ensure timely and accurate job billings.
- Communicates effectively with purchasing/warehouse staff to reconcile material or inventory discrepancies.
- Provide administrative support including preparing spreadsheets and managing invoice creation for approved tickets.
- Participates/complies with company safety programs & company policies.
- Other duties as required.
Required Skills/Qualifications:
- High School Diploma or equivalent.
- Previous work experience in service administration and office administration.
- Familiarity with oil and gas service industry, specifically electrical and instrumentation trades is an asset.
- Proficient MS Office and experience with accounting and/or enterprise resource planning (IFS) software is an asset.
- Strong communication skills, ensuring approachability and professionalism.
- Good analytical skills with the ability to problem solve and work with a variety of people, both internal and external to the organization.
- Good customer service skills and a proactive approach to solving customer issues.
- Ability to work under pressure while displaying a polite and tactful manner to fellow employees and clients.
