Position Overview

As a Service Appointment Coordinator, you'll play a key role in delivering a positive customer experience in our busy Service Department. This in-person role involves scheduling service appointments, managing inbound and outbound communications, and supporting the flow of daily operations — all while using CDK dealership software.


Key Responsibilities
  • Handle all incoming calls and inquiries related to service appointments in a friendly, professional manner.

  • Schedule and confirm service appointments efficiently using CDK software.

  • Review and update customer profiles and service history within CDK.

  • Conduct outbound reminder and follow-up calls (missed appointments, declined work, seasonal service).

  • Coordinate appointment availability with Service Advisors and Technicians to optimize workflow.

  • Maintain a clean and organized work area, providing a welcoming atmosphere for walk-in customers.

  • Support service department initiatives, promotions, and customer satisfaction goals.

Qualifications
  • High school diploma or equivalent required; post-secondary education is an asset.

  • Minimum 1 year of experience in a customer service, administrative, or dealership role.

  • Experience with CDK software is preferred .

  • Strong communication, organization, and time-management skills.

  • Ability to remain calm and courteous in a fast-paced environment.

  • Professional, team-oriented attitude and strong attention to detail.

  • Comfortable using multi-line phone systems, email, and computer-based tools.
