Position Summary

We are seeking a proactive and detail-driven Vendor Managed Inventory (VMI) Coordinator to manage high-volume VMI programs across multiple warehouse and factory locations. This role ensures inventory accuracy, proper order routing, and seamless coordination between internal teams and external customers. The ideal candidate will have strong organizational skills, an understanding of logistics and fulfillment processes, and a commitment to delivering an excellent customer experience.

Key Responsibilities:

  • Manage large-scale VMI operations, ensuring timely and accurate inventory replenishment and fulfillment.
  • Validate all orders to ensure they are entered correctly and routed to pull inventory from the appropriate warehouse or factory location.
  • Coordinate with shipping teams to ensure processes meet or exceed customer service level agreements (SLAs).
  • Ensure all VMI-specific labeling is completed accurately and aligns with customer requirements.
  • Monitor and enforce shipping processes, including proper documentation and timely filing of Bill of Lading (BOL).
  • Collaborate with internal teams and customers to resolve shipping damage issues promptly.
  • Provide inventory validation support, including review of order entry details and delivery schedules.
  • Proactively highlight shortfalls in inventory levels and implement risk mitigation plans where necessary.
  • Track inventory levels across multiple locations, ensuring real-time accuracy and alignment with forecasted demand.
  • Generate and maintain detailed inventory and VMI reports to support planning, replenishment, and customer requirements.
  • Analyze inventory trends and support continuous improvement initiatives for better accuracy and efficiency.
  • Collaborate cross-functionally with planning, logistics and production to maintain optimal inventory and high service levels.

Qualifications:

  • 2–4 years of experience in inventory management, logistics, or supply chain operations, preferably in a manufacturing or distribution environment.
  • Familiarity with VMI programs and best practices.
  • Strong knowledge of warehouse operations and order fulfillment processes.
  • Proficiency in inventory tracking systems and reporting tools.
  • Excellent attention to detail and ability to manage large volumes of data and orders.
  • Strong communication skills to support internal coordination and customer-facing responsibilities.
  • Proficiency in ERP and inventory systems (previous experience with Infor would be an asset), and Microsoft Excel.
  • Ability to manage and prioritize tasks in a fast-paced environment.
  • Experience with customer-specific VMI labeling and compliance.
  • Knowledge of shipping and freight documentation (e.g., BOL, packing lists).
  • Ability to travel occasionally within the US and Canada to support business needs.
