This role, within the first line, will participate in operational control monitoring, testing and reporting activities to ensure compliance with identified operational controls, including the documentation of findings, reports, issue tracking and monitoring. Working with the business to identify operational processing risks, process gaps or non-adherence and appropriate actions to mitigate them. Contributes to the business results by providing oversight, independent review, and challenge and making recommendations that minimize operational risk by better defining operational controls.
This role will also be involved in supporting senior members of the Controls function, who sit within the 1st Line of defence. This role is within a three person RCSA Controls Team and will be part of the wider MUFG Investor Services Controls teams that are based in Canada, Ireland and Cyprus.
A list of your responsibilities will include:
- Participate in effective monitoring and testing activities to ensure compliance with operational controls. Supporting root cause analysis in response to control failures in the business.
- Identify, assess, effectively challenge and oversee the satisfactory resolution of issues, including ensuring adequate management of remediation plans and validation.
- Ensure that all working papers are documented in a concise and clear manner.
- Elevate high profile issues to Controls and Operations management and assist in prompt resolution.
- Conduct and/or effectively challenge operations risk assessments and assist in identifying more effective compliance controls resulting in strengthened internal controls.
- Collaborate with other 1st and 2nd controls functions ensuring activities are aligned and efficient and in adherence with broader 2nd line frameworks and monitoring programs.
- Maintain and develop reporting and dashboards that are aligned with other control programs and frameworks
- Develop and maintain a high level of expertise in all areas of Business Operations Controls and Target Operating Models.
- Identify training needs based on gaps identified through control monitoring and testing.
- Identify enhancements to operations processes and communicate to the required stakeholders.
- Consult on products, services and automated systems to assist with incorporating control requirements into these initiatives.
- Building effective professional relationships with business and other internal stakeholders, communicating the role and importance of Controls.
- Operate effectively within a busy environment with changing expectations. Work independently on a range of complex tasks, broader work or accountabilities may be assigned as needed.
Hours are between 9:00am - 5:30pm Halifax
Qualifications- Typically, between 3 - 5 years of relevant experience conducting financial and operational or risk management audits or proven experience in the Fund Administration industry, this can include other administrators, fund managers or fund auditors.
- Post-secondary degree in related field of study or an equivalent combination of education and experience.
- Strong knowledge of business operations & procedures, and activities involving documented practices.
- Creativity in exploring solutions to improve daily operational efficiency
- Proficient in communication, critical thinking, relationship management and project management skills.
- Technical proficiency gained through education and/or business experience.
