Scope of Position:
Under the direction of the Supervisor, Business Services and as member of the multidisciplinary team, to provide a variety of clerical and administrative tasks and duties related to the operation of the home, ensuring compliance with current Corporate and home policies and procedures, as well as legislated guidelines.
Position Description:
- To conduct call-ins for all departments as per home policy and procedure and in compliance with Collective Agreements.
- To undertake various administrative tasks:
- Collect all schedule change requests (exchanges, LOAs, etc.) and investigate relief situation for decision making by management team. Upon approval, document changes.
- Ensure adequate/sufficient forms are available in each home area.
- To update bath schedules, various lists and assignment sheets as per direction from the Supervisor, Business Services, Supervisors and/or Registered Staff.
- To assist with or undertake various tasks from the Administrative Assistants and Supervisor as required including updating and organizing spreadsheets and labels for discharged/deceased residents, photocopying documentation, completing forms, assembling various packages of information, etc.
- Maintain employee contact phone numbers on call-in sheets.
- Utilize JBS schedule program for various tasks including verifying switch requests, checking alerts and schedule relief.
- To undertake various word processing assignments as required, including correspondence, labels, reports, forms etc.
- To provide backup for reception when required.
- Undertake all duties and responsibilities in compliance with Health and Safety standards, guidelines and legislation.
- Participate in in-service educational opportunities.
- Maintain awareness (at all times) of emergency procedures; participate in drills and associated education opportunities.
- To be aware and comply with all Corporate and home policies and procedures.
- Confidentiality is of extreme importance and must always be maintained.
- Adhere to infection control policies, procedures, protocols, routine and additional practices as required.
- Perform other duties as assigned.
Requirements
Knowledge and Experience:
- Grade 12 graduation
- Over six months, up to one year office/clerical experience with a health related or long term care home an asset
- Or equivalent to the above
Skills and Abilities:
- Ability to operate general office equipment (i.e. photocopier)
- Proficiency with Microsoft Office including Word and Excel (confirmed through testing)
- Proven interpersonal and communication (both oral and written) skills
- Proven time management and organizational skills
- Proven ability to work with minimal supervision
- Ability to work independently as well as part of a team
- Valid Ontario Class G driver's license and access to a reliable vehicle
- Computer expertise in corporate standard software (Microsoft Office) and department specific software to data search and entry and to create and modify word processed documents
- Must be aware of safe work practices as they relate to job responsibilities and work environment, and have the basic understanding of the Occupational Health and Safety Act
