Position Summary
The Sales Operations Specialist will report directly to the Director of Strategy and Marketing and work closely with both the sales and production teams. This role is pivotal in ensuring smooth customer interactions by managing quotations, orders, deliveries, returns, contracts, and forecasts. The specialist will also support the management of U.S. and European customer accounts and contribute to promotional activities aimed at acquiring new business.
Duties and Responsibilities
Customer Fulfillment and Support
- Process customer RFQs (Requests for Quotation), purchase orders (POs), and return material authorizations (RMAs)
- Schedule and coordinate order deliveries in collaboration with the operations team
- Develop, maintain, and ensure compliance with customer contracts
- Provide day-to-day customer service support to the sales team
Forecasting, Administration, and Reporting
- Create and update rolling 3-month sales forecasts with input from the sales and production teams
- Analyze key customer inventory levels monthly in collaboration with the sales team
- Track, monitor, and report on key performance indicators (KPIs)
- Maintain procurement, contract, and other relevant records
- Prepare monthly and quarterly business review reports, presentations, and KPI summaries
- Develop and update sales policies and procedures
Account Management: U.S. and Europe
- Support the Director of Strategy and Marketing in:
- Understanding customer application requirements and translating them into technical specifications for engineering
- Exploring new market opportunities in the U.S. and Europe and driving new product design wins
- Managing all facets of the customer relationshipcommercial, technical, and operationalserving as the primary liaison with internal departments (engineering, manufacturing, operations, etc.)

- Software: Microsoft Office suite.
- Equipment: Laptop or Desktop system.
Physical Requirements and work environment
- Office-based role requiring extended periods of sitting, typing, and computer use
- Regular communication via phone, video call, and email; occasional public speaking
- Standard work hours: Monday to Friday, 9:00 AM 6:00 PM (8-hour days)
- Flexibility for early or late meetings due to international time zones; after-hours online meetings may be required
Qualifications
- 3+ years of experience in sales operations, including reporting, process optimization, and dashboard management
- Bachelors degree required (preferably in a technical or business-related field)
- Proficiency in Microsoft Office, especially Excel
- Mandarin fluency is highly recommended
- Semiconductor industry experience is a significant plus
- Familiarity with CRM and inventory systems
- Strategic mindset and understanding of sales team objectives
- Strong problem-solving abilities and a track record of developing effective solutions
- Results-oriented with a sense of urgency and follow-through
- Excellent communication and relationship-building skills
- Able to manage multiple priorities, handle ambiguity, and adapt to rapid changes
Compensation
- Base salary will be based on experience with an estimated range of $60,000- $70,000 annually
