Summary: The Parry Sound Forest School Administrative Assistant will be responsible for providing administration, logistical, coordination & bookkeeping support to Forest School staff on a part time basis. This position is well suited to an individual who is independent, thrives in a supporting and capacity building role, and enjoys work in a small team. This is a position where the individual can work remotely if desired.
Responsibilities and Duties:
Oversee Activity Messenger Registrations Software, including but not limited to validating registrations and enrollment, invoicing clients and applying payments to invoices, sending reminders and updates to registered families, updating attendance when needed, updating online registration links as new programs open
Manage & respond in a timely fashion to daily emails from parents and communicate any relevant information efficiently with the Director and other Staff
Manage QuickBooks including, but not limited to, creating invoices; managing accounts receivable & accounts payable; monthly reconciliations; payroll; tax receipts; submitting monthly payroll taxes
Submit monthly DSSAB attendance
Submit quarterly WSIB Payments
Book school visits
Address general inquiries and daily emails
Inform the Executive Director and Events Manager of possible grant opportunities
Oversee Canada Summer Jobs and People and Talent (NOHFC) grant applications
Work closely with the Executive Director and Events Manager on a daily basis
Provide onboarding material to new staff
Complete ROEs for departing Staff
Other duties as requested by the Director, such as purchasing, research, and grant applications.
Qualifications and Skills:
Minimum of 2 years paid professional experience.
Experience with QuickBooks software.
Strong organisational skills, attention to detail, and the ability to prioritise.
Robust communication skills (writing and interpersonal).
Professionalism, dedication to excellence, initiative, and honesty.
Time management skills and the ability to work unsupervised.
Working knowledge of Google Office, Facebook, Instagram, CANVA.
Experience in website development using Squarespace is an asset.
Hold or be able to obtain a Police Record Check with the Vulnerable Sector Check.
Experience with Activity Messenger software is an asset.
University or college experience in Administration is an asset.
Salary: Negotiable, commensurate with experience.
Hours: 10-15 hours per week, within a flexible work schedule. Some weeks may require additional hours (eg. when summer registration opens). This job may also be combined with working onsite with children, making it full time (35-40 hrs/week).
