Duration: Jun. 23/25 to Jun. 22/26

Hours: Mon-Fri, 40 hours

T4 Pay Rate: $45.00/hour

Location: Hybrid – Calgary AB, T2J 7E8

As a Fieldglass Advisor, you will provide day-to-day operational and administrative support for the contingent workforce management program. This role focuses on managing workflows in SAP Fieldglass, coordinating requests between hiring managers and suppliers, and ensuring accuracy and compliance in transactions. You'll also support basic reporting, user guidance, and process execution to help deliver an efficient and compliant program experience.

This position is ideal for someone detail-oriented, collaborative, and service-focused, with the ability to manage multiple priorities in a fast-paced environment.

What You Will Do:

Operational Support & Client Coordination

o Advise users how to efficiently use Fieldglass and related procurement processes to meet their business needs

o Support end-to-end contingent workforce management, including resource requests, onboarding, management, offboarding, and renewals

o Coordinate with suppliers and hiring managers to facilitate candidate submissions, interview scheduling, and selection processes

o Provide guidance on approvals, ensuring they are obtained, documented, and aligned with corporate policies

o Act as the first point of contact for assignment-related inquiries such as rate adjustments, extensions, amendments, and general support

o Co-manage the FGO shared inbox triage and routing effort, coordinating responses and escalations as appropriate

Issue Resolution & Troubleshooting

• Troubleshoot Fieldglass issues and follow up on user requests with timely, clear communication

• Escalate more complex issues to senior team members or system administrators with appropriate documentation

• Identify recurring challenges and suggest process improvements to enhance efficiency

Training & Documentation

• Provide basic guidance and support for new users on Fieldglass and contingent labour processes

• Assist with onboarding support materials and FAQs

• Direct users to appropriate documentation or escalate questions as necessary

Reporting & Data Support

• Run standard and ad hoc reports on contractor activity and program metrics

• Support data validation and audits to maintain system accuracy and compliance

• Provide regular reporting to stakeholders as directed by the Fieldglass Office Manager

Process Support

• Validate invoice data, troubleshoot timesheet discrepancies, and assist with invoice processing coordination

• Ensure documentation and compliance steps are complete and tracked

• Assist with maintenance of program documentation, templates, and process tracking

• Complete UAT testing exercises as required

MUST HAVE

• 5+ years of relevant experience in procurement operations, contingent labour management, vendor management systems (VMS), or financial process support

• Intermediate experience using SAP Fieldglass or a comparable VMS; hands-on familiarity with SAP ECC and/or Oracle ERP systems

• Strong understanding of contingent workforce lifecycle processes, including job posting, onboarding, time/expense approvals, and invoicing

• Demonstrated ability to analyze data, create reports, and present findings to inform decision-making

• Excellent interpersonal skills with the ability to build rapport across departments and external suppliers

• Effective communication skills, including facilitation and training delivery (live and virtual)

• Ability to handle multiple priorities while ensuring accuracy and compliance

• A customer-service mindset with a focus on problem solving and critical thinking

• Proven ability to multitask, prioritize competing demands, and follow through on deadlines

Nice to have

• Experience in process improvement or change management initiatives
