Position SummaryThe Manager of Student Recruitment and Enrollment plays a mission-critical role in shaping Carey's future by attracting and enrolling students who align with our theological identity and institutional vision. This is a strategic and relational positionone that bridges pastoral discernment with data-driven execution, digital systems with human connection.
As Carey moves toward an integrated, full-lifecycle approachfrom first inquiry to alumni engagementthis role will design and implement a recruitment experience that is personal, responsive, and anchored in truth and clarity. The Manager will guide students through their discernment process, communicate the distinctiveness of Carey's theological formation, and ensure operational excellence in all aspects of recruitment and admissions.
As Carey prepares for a year of rebuilding, this role will also carry part-time registrar responsibilities to ensure continuity in student records, academic onboarding, and institutional reporting. This isn't a back-office taskit's about laying the groundwork for a reimagined student experience and ensuring that those who come to Carey are well supported from first inquiry through academic integration. In time, these responsibilities are expected to transition to a dedicated registrar position. For this season, however, they form part of a meaningful, multi-hat leadership portfolio that directly impacts the College's renewal.
This is both a front-facing ministry role and a systems leadership position, requiring fluency in CRM tools, data tracking, communications strategy, and pastoral sensitivity. Over time, the role may evolve into a senior leadership or enrollment strategy position as the College scales.
Key ResponsibilitiesRecruitment Strategy & Outreach- Develop and implement Carey's student recruitment strategy in alignment with theological priorities and institutional goals
- Cultivate new student pipelines through outreach to churches, ministry networks, alumni, and global partners
- Represent Carey at virtual and in-person events, webinars, speaking engagements, and ministry conferences
- Own the full admissions pipeline using Populi or other CRM tools, ensuring accuracy, timeliness, and actionable insights
- Monitor and report on conversion metrics from inquiry to enrollment, identifying friction points and improving processes
- Generate regular reports for senior leadership on recruitment performance, demographic insights, and admissions trends
- Serve as the primary point of contact for prospective students, responding promptly and personally to inquiries
- Provide application support, program advising, and theologically grounded guidance on fit and formation
- Coordinate with academic teams to manage special cases, eligibility reviews, and exception workflows
- Design and manage the full communications journey for prospective studentsfrom initial outreach to enrollment confirmation
- Coordinate messaging and branding with the Manager of Advancement and Communications to ensure voice alignment
- Use CRM and marketing tools to automate, personalize, and track communications across email, calls, and digital content
- Support Carey's broader goal of building a unified digital student lifecyclefrom first inquiry through alumni engagement and donor participation
- Contribute to CRM improvements and integration with advancement, learning systems, and alumni tracking platforms
- Ensure data integrity and enrollment analytics support institutional planning and long-term relationship building
- Define and monitor KPIs related to student recruitment, enrollment conversion, and pipeline health
- Leverage CRM and reporting tools to evaluate recruitment strategy and communication effectiveness
- Collaborate with the Director of Operations and Finance to align recruitment activities with budget and institutional priorities
- Monitor expenditures and help manage budgets related to student recruitment, admissions, and CRM systems
- Foster a culture of continuous improvement, transparency, and strategic execution

- Demonstrated love for the Church and a calling to serve in a Christ-centered, discipleship-focused institution

- 5+ years of experience in student recruitment, admissions, enrollment management, or ministry communications
- Strong interpersonal and pastoral skills, with the ability to counsel and connect with diverse prospective students
- Proven experience managing CRM systems (e.g., Populi, HubSpot, Salesforce) and running multi-channel communication workflows
- Data-literate and highly organized, with experience tracking KPIs and using data to improve conversion and pipeline flow
- Experience working with church leaders, denominational networks, or theological education preferred
- Bachelor's degree required; background in education, theology, ministry, or communications preferred
- Professional development in recruitment strategy, digital marketing, or enrollment systems is considered an asset
This is a full-time position based at Carey Theological College on the UBC campus in Vancouver, BC. The salary range for this role is $70,000$85,000 per year, commensurate with experience and qualifications.
