About the Position

We are looking for a highly motivated and detail-oriented Receptionist to join our team. The ideal candidate thrives in a fast-paced environment and demonstrates a strong commitment to delivering exceptional client service. This is an in-office position requiring a commitment to our core hours of 10:00 a.m. to 6:00 p.m., with the flexibility to work overtime as necessary to meet business needs. Please note, Receptionists are required to wear a business suit jacket while working at the reception desk during office hours.

Primary Responsibilities

  • Answer telephones and route calls appropriately
  • Greet clients and escort them to boardrooms, as required
  • Notify appropriate staff members of the arrival of clients/visitors
  • Provide conference call-in numbers after hours
  • Report concerns regarding firm premises to Office Services or building maintenance staff
  • Ensure reception and client rooms are tidy and coordinate cleaning, as needed
  • Coordinate all boardroom bookings and liaise with the kitchen and Office Services for setup needs

Qualifications

  • Minimum two (2) years of relevant experience in a professional services environment
  • Excellent interpersonal and communication skills, both verbal and written
  • Superior client service skills with the ability to greet clients professionally
  • Friendly, professional and confident demeanor
  • Strong organizational and time management skills, with the ability to multitask efficiently
  • Ability to handle stressful situations effectively and thrive in a fast-paced environment
  • Ability to work independently and as part of a team
  • High degree of integrity, diplomacy, discretion and respect for confidentiality
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Adobe, PowerPoint)
