Job Summary:
We are seeking a detail-oriented and highly organized Project Coordinator to support our projects. As a key member of our mechanical contractor project team, you will assist with project planning, documentation, communication, and execution. Your role will be critical in ensuring that our field teams, subcontractors, suppliers, and clients stay aligned for on-time and on-budget project delivery.
Key Responsibilities:
Coordinate and support all phases of HVAC and plumbing projects from pre-construction to closeout.
Collaborate with project managers to maintain and update project schedules and resource plans.
Assist in preparing and tracking submittals, RFIs, change orders, purchase orders, work orders and closeout documentation.
Maintain project documentation, including drawings, specifications, contracts, and correspondence.
Facilitate communication between field crews, vendors, engineers, and clients.
Track equipment and material orders to ensure timely delivery to job sites.
Coordinate subcontractor scheduling and assist with job site logistics.
Attend team meetings and document action items and responsibilities.
Assist in ensuring compliance with safety policies, codes, and inspection requirements.
Maintain project tracking tools (e.g., logs for RFIs, submittals, change orders, deliveries).
Support procurement by obtaining quotes and working with vendors for HVAC and plumbing components and systems.
Assist in project closeout including manuals, as-builts, and warranty information.
Qualifications:
Associate's or Bachelor's degree in Construction Management, Mechanical Engineering, or a related field preferred.
2+ years of experience in HVAC or Plumbing Commercial construction project coordination or related role.
Familiarity with Mechanical systems, terminology, and installation practices.
Ability to read and interpret construction drawings, specifications, and schedules.
Strong proficiency with project management tools (e.g., Procore, Bluebeam, MS Project, Adobe or similar).
Excellent organizational, communication, and multitasking skills.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Strong attention to detail and time management skills.
Ability to work independently and collaboratively in a team environment.
