Castle Hall is an entrepreneurial, dynamic and fast moving company that is looking to add a Client Support Specialist to our Halifax team. This role responds to increasing demand for Castle Hall's services, and the firm's commitment to continued growth.

Position Overview

This role works with other members of the Client Support team to provide general support for our internal teams and processes while occasionally interacting with clients. This role leverages AI tools and focuses on process improvement to enhance team efficiency through administrative coordination and cloud-based documentation management.

RESPONSIBILITIES

  • Manage online filing systems, and record keeping using SharePoint and HubSpot
  • Process various reports, and administrative requests in a timely manner
  • Develop effective AI prompts to extract insights from client data and support interactions
  • Create and refine workflows that integrate AI tools into daily team operations
  • Use AI tools to automate routine administrative tasks and generate reports
  • Train and support team members in effective AI prompt engineering and tool usage
  • Support workflow optimization and process improvements
  • Provide occasional direct client assistance during peak periods or staff absences
  • Assist with client coverage updates and maintenance

DESIRED SKILLS AND EXPERIENCE

  • A Bachelor's degree in finance, commerce, or business.
  • Strong organizational and administrative skills
  • Experience using HubSpot or other CRM
  • Experience with or aptitude for AI tools and prompt engineering
  • Excellent attention to detail and accuracy
  • Proficient in Microsoft Office Suite and other relevant software
  • Basic understanding of client service principles
  • Effective written and verbal communication skills
  • Ability to prioritize tasks and manage time effectively
  • Problem-solving mindset and initiative
  • Professional demeanor and customer service orientation
  • Eagerness to learn new technologies and digital tools
