The Job!
You will be responsible for managing end-to-end event venue planning, from client intake through to event day support as well as other administrative and facility-related tasks.
- Assisting with the setup and teardown of internal meetings, including preparing food and beverage service for guests
- Assisting in creating and hosting quality activities (like holidays or socials)
- Assisting with event sales inquiries
- Monitoring and responding to vendor inquiries, processing activity permits, and coordinating with the security team to ensure seamless access and compliance
- Managing vendor and contract coordination, including scheduling for installations, deliveries, and on-site work
- Facilitating interactions between tenants, vendors, and building staff to maintain efficient operations and high-quality service
- Ensuring all vendor requests are processed within a strict 24-hour turnaround time to meet operational demands
- Maintaining a high level of professionalism in all communications and interactions, as some tenants invest millions in rental space and expect exceptional service
- Other ad-hoc tasks, such as reception coverages, as necessary
What you bring to the job:
The ideal candidate is someone who is outgoing and confident. You also come with the following:
- 2-5 years of facilities/events experience, preferably from a professional services firm
- Demonstrated experience with volunteer management and Eventbrite registration
- Experience in event venue management and coordination is preferred
- Strong initiative, practical problem-solving skills, and attention to detail
- Detail oriented and takes pride in their work
- Excellent communication and client service skills
- Strong work ethic and ability to work independently as well as within a team
