The Opportunity
The Executive Assistant (EA) to the CEO/Owner of this small but scaling intimate apparel company will play a crucial role in supporting the CEOs daily operations, enhancing productivity, and ensuring the overall efficiency of the business. This position not only supports the CEO in their professional endeavours but also helps to maintain a balance in their personal life, requiring a blend of organizational skills, interpersonal communication, and an understanding of the intricacies of small business operations.

This position is based full-time, on-site at our Client's Head Office in Calgary, AB. As such, please note that we are only open to considering candidates who presently reside in the Greater Calgary Area and are legally entitled to work in Canada.
Required Experience and Qualifications
- 5+ years of experience working as an Executive Assistant to a CEO or comparable-level executive.
- A Bachelor's Degree in Administration or a similar field is strongly preferred.However, acombination of relevant experience and education may be considered.
- Technically proficient with expertise inMicrosoft Office Suite (Word, Excel, Powerpoint), Google Docs, calendar management tools (Calendly) and project management tools (Slack, Todoist and Notion)
- Strong verbal and written communication skills, coupled with a professional, collaborative demeanour.
- Exceptional time management and organizational skills with demonstrated ability to handle multiple priorities simultaneously.
- Strong problem-solving and critical thinking skills.
- Ability to anticipate the needs of the CEO and take proactive steps to ensure those needs are met.
- High level of discretion and confidentiality demonstrated through previous expertise in handling sensitive information.
- Highly adaptable with the ability to work a flexible schedule, Monday throughFriday.
Responsibilities of the Position*
ADMINISTRATIVE SUPPORT
- Calendar Management:Organize and maintain the CEOs calendar, scheduling meetings, prioritizing daily tasks, and ensuring timely reminders for critical appointments.
- Communication Liaison:Serve as the primary point of contact between the CEO and internal/external stakeholders, managing correspondence via phone, email, and in-person communications.
- Documentation Management:Prepare, edit, and file documents, reports, and presentations, ensuring that all materials are accurate and professionally presented.
- Meeting Coordination:Organize executive meetings, including setting agendas, distributing materials, taking minutes, and following up on action items to ensure accountability.
- Project Management:Assist in managing various projects by tracking progress, creating project timelines, and ensuring deadlines are met.
- Data Analysis:Support the CEO by gathering and interpreting data to inform business decisions, preparing reports that highlight key performance indicators and trends.
- HR Assistance: Support hiring efforts and onboarding of new staff, as needed.
- Office Management:Ensure the office environment is organized, stocked with necessary supplies, and that office technology is functioning correctly.
- Travel Arrangements:Coordinate travel itineraries, including booking flights, accommodations, and ground transportation, while managing any travel-related expenses.
- Personal Scheduling:Assist in scheduling personal appointments, such as medical visits or family events, balancing the CEOs personal and professional commitments.
- Home Office Management:Provide support for personal tasks that may include managing household services, event planning, or other personal errands that contribute to work-life balance.
- Confidentiality Maintenance:Handle sensitive personal and business information with the utmost discretion and confidentiality, ensuring trust remains intact.
