Salary:

LaPrairie Group of Companies is looking for a Proposal Administrator / Receptionist to join its team in downtown Calgary, Alberta.

The Proposal Administrator / Receptionist will be responsible for assisting LAPRAIRIE's estimating team with formal proposal submissions, managing the Calgary Office and facilitating Reception duties.

We are looking for a candidate who is experienced in the duties outlined below, is comfortablemanaging multiple tasks and thrives working independently.

Job Responsibilities

Proposal Administration Duties

  • Review proposal instructions, facilitate collection of necessary information and ensure adherence to proposal submission requirements.
  • Review and maintain LAPRAIRIE's proposal account databases, search for applicable opportunities and distribute information for management review.
  • Track submitted proposals and corresponding results.
  • Other related duties as assigned.

Office Management / Reception Duties

  • Receive, screen, and redirect incoming calls and inquiries to the appropriate individuals, departments, locations, or company. Take and send messages as required.
  • Ensure office is kept clean and orderly.
  • Coordinate domestic and international shipments.
  • Order office supplies and maintain supply inventory.
  • Liaise with Building Management. Coordinate office cleaning, maintenance and repairs.
  • Arrange and book meetings in boardrooms, off-site conference halls, and other locations; ensuring required items are there (appropriate presentation equipment, catering etc.).
  • Facilitate office safety program and coordinate online training.
  • Complete accounting coding tasks and data entry.
  • Other related duties as assigned.

Requirements

  • 3-5 years of experience working in administration / proposal administration / business development, or similar field.
  • Excellent writing skills, including proper spelling, grammar, and punctuation.
  • Independent worker with superior time management skills.
  • Able to prioritize tasks and complete duties with minimal supervision.
  • Strong knowledge of Microsoft Office products, including Excel, Word, and PowerPoint.
  • High level of sound and independent judgment, reasoning, and discretion.
  • Post-secondary degree, diploma or designation relating to Business, Business Administration, or another related field, is an asset.
  • Maintain a high level of confidentiality in all interactions.
