Position Summary:
We are seeking a full-time Administrative Office Clerk to manage daily office tasks and support our operations. This role requires a highly organized individual who can multitask effectively and contribute to the smooth functioning of our office.
Key Responsibilities:
Answer and direct phone calls and emails
Schedule appointments and dispatch service calls
Maintain and update customer records and files
Process invoices, purchase orders, and other documents
Assist with payroll and basic bookkeeping
Communicate with customers, vendors, and field technicians
Maintain office supplies and ensure the office is organized
Perform general clerical duties such as photocopying, scanning, filing, and data entry
Learn and efficiently use new CRM and scheduling software
Requirements:
Proven experience in an administrative or office clerk role (HVAC or service industry experience is a plus)
Strong multitasking and time-management skills
Proficient in Microsoft Office (Word, Excel, Outlook)
Excellent verbal and written communication skills
Ability to work independently and as part of a team
High school diploma or equivalent (Associate's degree is a plus)
Work Schedule:
Monday to Friday, [insert hours]
(Weekends may be required during peak seasons)
