The Administrative Assistant/Receptionist will manage a high volume of incoming phone calls and walk-in applicants, ensuring a smooth and welcoming front-office experience. This role is crucial to maintaining efficient office operations and delivering excellent service to candidates and clients.
Key Responsibilities:
Greet and assist walk-in applicants with professionalism and warmth
Answer and route high volumes of incoming phone calls in a courteous and timely manner
Collect and verify applicant documentation and ensure completion of initial onboarding paperwork
Schedule candidate interviews and support the recruiting team with administrative tasks
Maintain an organized and clean reception area
Enter and update candidate information in the applicant tracking system (ATS)
Respond to general inquiries from candidates, clients, and internal staff
Perform other clerical duties such as filing, data entry, scanning, and mail distribution
Qualifications:
High school diploma or equivalent required; associate degree preferred
1+ year of experience in a receptionist, administrative assistant, or customer service role
Experience in a staffing agency or high-volume office setting is a strong plus
Excellent verbal and written communication skills
Strong multitasking abilities and ability to stay composed under pressure
Proficient in Microsoft Office Suite (Word, Excel, Outlook)
Familiarity with applicant tracking systems (ATS) is a plus
