Executive Assistant

Position Summary

We are seeking a highly professional and proactive Executive Assistant to provide high-level administrative and strategic support to two senior executives within a dynamic, fast-paced environment. The ideal candidate is an excellent communicator, thrives in managing complex schedules and projects, and brings a calm, diplomatic approach to managing shifting priorities and sensitive matters. This role requires a high degree of discretion, judgment, and adaptability, as well as the ability to anticipate needs and operate with the utmost confidentiality.

Key Responsibilities

  • Manage complex and frequently changing calendars, including scheduling internal/external meetings across multiple time zones.
  • Prepare briefing materials, agendas, reports, and high-level correspondence on behalf of the executive.
  • Act as a liaison between the executive and internal/external stakeholders with professionalism and discretion.
  • Coordinate and manage special projects, ensuring timelines and deliverables are met.
  • Support the executive through organizational change by managing communications, tracking progress, and ensuring alignment with strategic goals.
  • Handle confidential information with a high level of integrity and discretion.
  • Arrange domestic and international travel, prepare detailed itineraries, and manage expense reporting.
  • Monitor action items, meeting follow-ups, and deadlines to ensure accountability and execution.
  • Build and maintain strong working relationships across departments and external partners.
  • Assist with team operations and internal communications to support a collaborative and efficient work environment.

Key Qualifications

  • 5+ years of experience supporting senior executives in a fast-paced, professional setting.
  • Exceptional written and verbal communication skills; able to draft polished correspondence and speak on behalf of the executive when needed.
  • Proven project management skills with the ability to juggle multiple initiatives and adapt to shifting priorities.
  • Experience supporting change management initiatives or navigating organizational transformation.
  • Highly organized with exceptional attention to detail and a proactive, solutions-focused mindset.
  • Tech-savvy and proficient in Microsoft Office Suite, calendar and project management tools.
  • Exercises sound judgment, diplomacy, and confidentiality at all times.
  • Strong emotional intelligence and interpersonal skills; able to build trust and influence across all levels of an organization.
