Change and Communications Consultant

Role Overview:

As a Change and Communications Consultant, you will be pivotal in supporting the successful adoption of records management protocols and delivering an impactful training refresh. You will operate at the intersection of change management strategy and strategic communications, providing a holistic and integrated approach to ensure all stakeholders are informed, engaged, and equipped for the transition.

You will develop and execute a comprehensive change management roadmap, leveraging Prosci methodology, to guide the organization through the necessary behavioral and operational shifts. Simultaneously, you will craft and implement a multi-faceted communications strategy that addresses the diverse needs of all audiences, from front-line staff to senior leadership. This role demands a strategic thinker with a hands-on, detail-oriented approach to problem-solving and implementation.

You will thrive in a hybrid work environment, balancing on-site collaboration with remote work flexibility, ensuring optimal productivity and engagement.

Key Responsibilities:

1. Change Management Strategy & Execution:

  • Develop and Implement a Comprehensive Change Management Roadmap: Utilize Prosci methodology to assess the impact of the records management and training refresh initiatives, identifying key stakeholders, potential resistance points, and necessary interventions.
  • Conduct Detailed Impact Assessments: Analyze the impact of changes on various stakeholder groups, including operational workflows, technology adoption, and training requirements.
  • Develop and Execute Targeted Change Management Plans: Design and implement specific change management activities, including stakeholder engagement workshops, resistance management strategies, and post-implementation support.
  • Drive Behavioral Change and Adoption: Implement strategies to foster a culture of data governance and ensure successful adoption of new records management practices and training programs.
  • Monitor and Measure Change Effectiveness: Track key performance indicators (KPIs) to assess the effectiveness of change management interventions and make necessary adjustments.

2. Strategic & Tactical Communications:

  • Develop a Holistic Communications Strategy: Create a comprehensive communications plan that addresses the needs of all stakeholder groups, ensuring consistent messaging and clear understanding of the project's goals and benefits.
  • Craft Engaging and Informative Communications Materials: Produce a wide range of communication materials, including:
  • Executive presentations and briefings.
  • Detailed procedural guides and FAQs.
  • Training materials and resources.
  • Internal newsletters and announcements.
  • Social media content and videos.
  • Manage Communication Channels: Select and manage appropriate communication channels to reach diverse audiences, including email, intranet, town hall meetings, and training sessions.
  • Provide Clear and Concise Messaging: Translate complex technical information into clear, accessible language, ensuring all stakeholders understand the changes and their impact.
  • Facilitate Two-Way Communication: Establish mechanisms for feedback and dialogue, addressing stakeholder concerns and ensuring open communication throughout the project lifecycle.
  • Develop Training Communication and Rollout: Manage the communication surrounding the training refresh, ensuring high attendance and comprehension.

3. Stakeholder Relationship Management:

  • Build Strong Relationships: Establish and maintain strong relationships with key stakeholders across the organization, including project sponsors, business leaders, and end-users.
  • Facilitate Collaboration: Collaborate with project managers, training teams, and other relevant stakeholders to ensure alignment and integration of change management and communication activities.
  • Address Stakeholder Concerns: Proactively identify and address stakeholder concerns, providing timely and accurate information and support.

Required Skills and Qualifications:

  • Proven experience in change management and strategic communications, with a focus on records management, data governance, or training initiatives.
  • Expertise in Prosci methodology and change management best practices.
  • Strong understanding of communication principles and practices, with experience developing and implementing multi-channel communication strategies.
  • Excellent written and verbal communication skills, with the ability to translate complex information into clear and concise 1 messages.
