We are seeking a professional and reliable Receptionist to support our client's dynamic office environment. This role is ideal for someone who enjoys multitasking, has strong interpersonal skills, and can handle mid-level administrative responsibilities. The successful candidate will be the first point of contact for visitors, support the sales team and various VPs, and assist in maintaining an efficient, well-organized front office.
This is a 6 month contract with potential of extension.
Responsibilities
- Serve as the first point of contact for clients, visitors, and internal staff
- Manage reception duties for the sales team, ensuring all guests are greeted and directed appropriately
- Distribute and track keys handed out to contractors, ensuring security and accurate logging
- Support Vice Presidents with administrative tasks including expense processing using Oracle
- Maintain calendars and scheduling for meeting rooms to prevent booking conflicts
- Handle general office duties and mid-level administrative work as assigned
- Assist with coordination of meetings, calls, and internal events as needed
- Provide exceptional customer service in person, over the phone, and via email
- Ensure the reception area remains tidy, professional, and fully stocked with supplies
- Previous experience in a receptionist or administrative support role
- Proficient in Microsoft Office Suite and familiar with Oracle for expense management
- Strong organizational and time-management skills
- Excellent communication and interpersonal abilities
- Ability to multitask and prioritize in a fast-paced environment
- Experience with calendar management and meeting coordination
