We are seeking an Administrator, Parts & Logistics professional to join our Toronto team. Reporting to the Territory Manager, this position serves as the primary point of contact for clients, vendors, and internal and external stakeholders at our Toronto office. This position provides general administrative duties to ensure the smooth operation of the office and assist with the fulfillment process of parts.

What You'll Be Doing

  • Act as the primary point of contact for customers and vendors by greeting guests, directing phone calls, and handling all incoming and outgoing mail.
  • Coordinate and maintain professional communication and relationships with staff, vendors, and both internal and external stakeholders.
  • Support daily office operations by organizing workload priorities, managing supplies, filing, scheduling, and providing administrative assistance as needed.
  • Issue purchase orders, validate order acknowledgements, and oversee the fulfillment processincluding receiving, packing, shipping goods, and coordinating with logistics.
  • Organize and maintain a comprehensive filing system for packing slips and shipping documents to ensure easy tracking and audit compliance.
  • Other administrative and operational tasks as required.

What You Bring

  • Post secondary education in Office Administration, Business Administration, or another related field.
  • A minimum of one to two (1-2) years experience in an Office Administration role.
  • Strong computer skills, including Microsoft Office; experience with an ERP system considered an asset.
  • Strong communication skills with both internal and external project stakeholders.
  • Highly developed customer service and interpersonal skills.
  • Ability to work independently and effectively while prioritizing work schedule and completing assigned duties within timelines.
  • Demonstrate a high degree of confidentiality.
  • Effective organizational and problem-solving skills
