A Day in the Life of our Project Manager

The mission of the Project Manager is to ensure seamless client experiences by working with clients, vendors, facilitators and our design team to link the key pieces of success together. The Project Manager's detail-oriented approach ensures the absolute best learning experience for our clients. Key ResponsibilitiesPROJECT MANAGEMENT
  • Manage project plans, scope, timelines, logistics and other deliverables, in Monday.com
  • Lead and support Project and Session Material Coordinators (contractors)
  • Be the liaison between the client and facilitator at program start, check-ins and program completion
  • Record a weekly project team update to ensure team and client needs are being met
  • Manage facilitator invoicing, including contract support, creating Statements of Work and communicating clear expectations with facilitators to hold them to a high standard
  • Keep project management workflows and client records up-to-date across all systems
  • Build and maintain strong relationships with key client sponsors and vendors
  • Set-up and lead (internal) project kick-off meetings with operations and facilitation team
  • Lead program midpoint retrospectives and end of program retrospectives with internal team (surveys and meetings)
  • Ensure the differed revenue on the budget is accurate relative to the rollout of the projects
  • Manage margins, scope creep, and approve scope change decisions
  • Send sponsor and boss facing communication in collaboration with the program designers
  • Maintain our tech stack (such as the LMS and other productivity tools)
  • Regularly report on project metrics (margin)
  • Manage the buffer between content design and session delivery
PROJECT COORDINATION
  • Be the liaison between client and facilitator (stakeholders) when coordinating client experiences
  • Coordinate logistics for client experiences with facilitator (session, coaching, 1:1 debrief date setting, venue details, travel, sending session materials)
  • Anticipate client and facilitator needs, and problem-solve to adapt to challenges and manage setbacks
  • Track client materials and printing costs, and flag budget observations to the Business Development Manager
  • Flag changes to scope or program structure and communicate to the Business Development Manager and Program Designers
  • Coordinate, maintain, and replenish facilitator kits as required
STRATEGIC CONTRIBUTION
  • Ask questions and challenge the status quo
  • Contribute to decisions regarding the strategic direction of the organization
  • Contribute to decisions impacting the ViRTUS brand and reputation in the market
  • Contribute to decisions impacting organizational structure

QUALIFIATIONS

  • Minimum 2-3 years of experience in project management or a related role (including client-facing experience).
  • Strong experience with project management tools (e.g., Monday.com, Asana, Trello) and maintaining accurate project records.
  • Experience leading and managing cross-functional teams, including contractors (e.g., Project and Session Material Coordinators).
  • Proven experience managing client relationships and acting as a liaison between multiple stakeholders (clients, vendors, facilitators, and internal teams).
  • Financial acumen: experience managing project budgets, tracking expenses, and understanding revenue recognition principles (e.g., deferred revenue, margins).
  • Strong written and verbal communication skills.
  • Problem-solving and conflict resolution skills, with the ability to adapt to challenges and manage setbacks.
  • Detail-oriented with strong organizational skills, capable of managing multiple projects and deliverables simultaneously.
  • Proficiency with productivity and communication tools, including MS Word, Excel, Google Workspace, Zoom, Slack, and experience with LMS (Learning Management Systems) is an asset.
  • Strategic mindset with the ability to contribute to organizational decision-making and challenge the status quo.
  • Interest in/curiosity about leadership and team development work.
  • Experience with data reporting and analysis, especially for tracking project metrics (e.g., margins).
  • Comfortable working in a hybrid environment, with the ability to travel within the Lower Mainland as needed.

COMPENSATION PACKAGE

  • $75,000-85,000 base salary based on number of years of in-role experience and specific development in project management.
  • 3 weeks of vacation, plus end-of-year office closure
