We are seeking an energetic human to dive into supporting our practice as an Administrative Coordinator on a part-time basis, Monday to Friday, 25 to 30 hours a week (hours and start times based on the preference of the successful candidate). In this role, you will ensure the smooth and efficient operation of our business by providing high-level administrative support including managing schedules, communications, and priorities so that our Chief People Officer (CPO) can focus on delivering excellence and engaging our clients. As the right hand person to our CPO, your primary responsibility will be supporting her in an Executive Assistant/Personal Assistant capacity, however you will also be providing administrative support to our team when required.
- Calendar and schedule management: Prioritizing and coordinating meetings, appointments, and travel;
- Communication management: Managing emails, phone calls, social media, and correspondence;
- Meeting preparation and follow-up: Preparing agendas, attending client meetings, taking minutes, and ensuring action items are tracked and taken;
- Confidential support: Managing sensitive information with discretion and professionalism;
- Project coordination: Assisting with or overseeing specific internal and client projects and initiatives, proofing documents & creating presentations;
- Record keeping and documentation:Maintaining files, databases, and documentation to ensure accuracy and accessibility;
- Process and system support: Assisting with administrative procedures, improving workflow efficiency, and managing workflows and databases.
Personal Assistant to CPO responsibilities may include: running errands, picking up supplies, meeting preparation, shopping, and various "House Manager" type responsibilities. The opportunity to accompany our CPO in travelling to clients from time to time may arise (but not required).

Requirements
- Expert computer skills and a Microsoft Office guru;
- Exceptional communication skills and builds relationships easily;
- A flair for leveraging technology and are very adept at learning and implementing new systems;
- Ability to work independently and take initiative to support the team;
- A desire to learn by challenging yourself, reaching up and stretching your abilities, and strive for excellence;
- In possession of a valid driver's license and access to a reliable vehicle.
