We are seeking a proactive, organized, and detail-oriented Office Administrator to join our client's team on a part-time(24 hours), one-year contract basis. In this role, you will support daily office operations, ensure a smooth and efficient workplace environment, and assist with administrative tasks across departments. About the Role

Daily Responsibilities

  • Manage and distribute incoming mail

  • Receive deliveries and provide office access to visitors and vendors

  • Greet guests and create a welcoming office environment

  • Maintain and organize office operations and procedures

  • Respond to emails and general inquiries

  • Support management with administrative tasks as needed

  • Oversee general office upkeep, including:

    • Refilling snacks and beverages

    • Unpacking deliveries

    • Keeping the workspace tidy

    • Emptying dishwashers

Weekly Responsibilities

  • Handle courier services (e.g., shipping swag, processing courier requests)

  • Review and approve vendor invoices

  • Process invoice payments

  • Serve as the point of contact for meeting room bookings

  • Monitor and reorder office supplies as needed

  • Manage corporate card usage and expense reporting

Monthly / As-Needed Responsibilities

  • Reorder snacks and drinks for the office

  • Coordinate catering for meetings and office events

  • Onboard new staff members in the Toronto office

  • Assist with employee offboarding, including equipment returns

  • Liaise with building management for maintenance issues or key fob requests

  • Collaborate with the brand manager on merchandise and swag orders

  • Communicate with the cleaning company regarding schedule adjustments and supply needs

  • Monitor the phone answering service and mailbox; direct inquiries to appropriate contacts

  • Coordinate with IT regarding office equipment and technical needs

  • Support planning and execution of company events

  • Arrange and send gifts for first-year employee anniversaries

What You Bring
  • Proven experience in an administrative or office coordination role

  • Excellent organizational and time management skills

  • Strong written and verbal communication abilities

  • Comfortable working independently and multitasking

  • Proficient in Microsoft Office Suite

  • Ability to lift and move light office supplies or deliveries when needed
