Position Summary and Scope of Service:

Reporting to the Supervisor, Volunteer Services, and consistent with the Mission, Values and Policies of St.Amant and the Principle Functions and Objectives Volunteer Services is to provide a range of customer service support to the Volunteer Services area.
Hours of this position are subject to change and flex based on the needs of the program. Generally the hours are Monday to Friday 9:00 a.m. to 5:00 p.m. and/or Saturday and Sunday 9:00 a.m. to 5:00 p.m.
Qualifications:
Canada Summer Jobs:
- Must have been registered as a full-time student in the previous academic year and intend to return to school on a full-time basis the next academic year.
Professional:
- Previous experience in a volunteer role
- Good organizational, time management and communication skills
- Experience working with employees and the public
- Experience in training an asset; specifically with youth
- Experience and comfort using virtual platforms such as Zoom and Teams
Personal:
- Knowledge of PHIA in the performance of all duties
- Previous customer service experience, specially dealing with the public
- Work as a team member
- Able to ensure that deadlines are met
- Able to work independently or with the team
- Provide attention to detail
- Able to work with individuals with an intellectual and/or physical disability
Duties and Responsibilities:
Under the general direction of the Supervisor, Volunteer Services or delegate, the incumbent is responsible for maintaining and updating volunteer information in established programs, and making recommendations for program improvements.
Duties include:
- Welcome and assist volunteers
- Provide support with scheduling
- Maintain ongoing communication with all volunteers regarding activities, workshops, etc. and assist with recognizing milestones.
- Assist with the organization and maintenance of volunteer files and database; including filing, data entry and follow up emails.
- Assist in special events, such as volunteer check ins and programming
- Assist with routine inquiries and forward calls to supervisors
- Perform other appropriate duties, as may be assigned
Resource Assistant Role:
You will be required to perform various administrative support tasks:
- Answering emails
- Schedule volunteer interviews
- Volunteer check-ins
- Note taker in meetings
- Virtual interview support
- Support and update the volunteer profiles and databases
- Managing filing systems
- Update records and organizing documents
- Virtual and/or in person programming support
For this role, a strong internet connection is required, along with experience using communication tools such as; Zoom and/or Microsoft Teams. The incumbent will need to be able to handle administrative projects and deliver high-quality work under minimum supervision.
