TownSuite Municipal Software, a growing technology company based in Newfoundland and Labrador, is currently seeking an Executive Assistant to provide support to our Sales & Marketing team, as well as other departments as required. This position involves regular communication with both internal teams and external clients. Based at our head office in Gander, NL, we are looking for a candidate who is eager to learn and further develop the skills outlined below:
Responsibilities:
  • Provide support for sales efforts, including contacting prospective clients and current clients to collect information required to prepare pricing estimates
  • Provide support for marketing efforts, including assisting in marketing campaign development
  • Provide support for sales + marketing with respect to Customer Relationship Management, such as scheduling client meetings, prospect meetings, partner meetings, and preparing and sharing meeting agendas.
  • Organize and maintain documentation associated with client accounts in the CRM system utilized for technical support, implementation, communication,s and account information management
  • Prepare proposals based on supplied pricing information and other required content, utilizing established templated information.
  • Identify and communicate deadlines associated with proposal preparation, submission,n and renewals
  • Review online bidding resources to identify opportunities for formal Request for Proposals (RFP) response preparation and submission
  • Review RFP documentation to identify and fulfill compliance requirements, as well as gather any required information to prepare proposals.
  • Prepare contracts for sales, including implementation agreements, service level agreements, API licensing agreements, as well as change orders and statements of work for additional services, utilizing established document templates.
  • Monitor the contract signoff process and follow up on delayed signoffs
  • Contact clients to assist in the collection of overdue payments, including generating collections reports for internal review.
  • Work with the management team to ensure client satisfaction
Qualifications:
  • Post-secondary degree or diploma in Business/Commerce/Administration and/or equivalent experience.
  • Ability to communicate effectively, verbally, and in writing.
  • Strong writing and analytical skills
  • Committed to practicing dispute avoidance strategies.
  • Self-starter with the ability to work both independently and in a team setting.
  • Ability to adapt in an ever-changing, fast-paced work environment.
  • Strong organizational skills and ability to self-manage assigned tasks and timelines.
  • Good working knowledge of Google Workspace Applications (Mail, Calendar, Documents, Sheets, Slides, Forms), Zoom, Adobe Acrobat.
  • Good working knowledge of Microsoft Word. Knowledge of Excel and PowerPoint is also an asset.
  • Knowledge of the following applications would also be an asset; otherwise, a willingness to learn the following applications is required: Salesforce, HubSpot, GitHub, Adobe Illustrator, DocuSign, AI/ML tooling (including ChatGPT and Gemini), TownSuite mERP.
  • Knowledge of any of the following areas would be an asset, but not mandatory for this position: ERP applications, Local (municipal) Government Administration, Accounting, Asset Management, Recreation, Human Resources, Municipal Government Finance, Inspections, Land Management, Recreation, Facility and Event Management.
