Job Description

Our client is seeking a dynamic and detail-oriented Leasing Coordinator to join their team on a TEMPORARY basis for approximately two to three months. In this pivotal role, you will collaborate closely with the Leasing team to drive and support a wide range of leasing activities and related projects.

WHAT YOU'LL BE DOING

  • Responsible for leasing support for a variety of retail properties nationwide, across multiple portfolios
  • Input deals in Deal Tracking System for Leasing Manager, Directors, VPs
  • Submit deals to client's weekly Leasing Committee for approval, support organization of committee structure, take notes during weekly meeting
  • Calculate negotiator commissions, track fees and collaborate with finance and accounting
  • Assist Leasing Directors and Managers with deal financials, analyze proposed deals against budget, calculate NERs and Gross Rent structures
  • Provide and compile essential research data to Leasing Representatives on Tenant Sales Analysis, Category Sales Analysis, for individual properties in an effort to maximize property performance
  • Maintain leasing status reports, and keep accurate records with respect to potential tenants for new and existing properties
  • Update and maintain leasing activity plans for shopping centres
  • Provide assistance and communication with Shopping Centre Managers in the region; including tracking all opening and closing notices for tenants
  • Stay current of the latest market and industry trends by conducting the appropriate research on the newest retailers so that leasing representatives can make informed decisions on new prospects for their centres
  • Provide essential backup information during budget season on existing tenants to the Leasing Representatives (i.e. renewal options, first rights of refusal on adjacent spaces, option to terminate, double check Lease expiry dates and GROC analysis)
  • Assist in budget review with report preparation and report analysis
  • Initiate follow-up calls with retailers on status of proposal letters, TPFs, and legal documents (leases, lease amending agreements);
  • Assemble property packages (property sales report, occupancy, traffic reports, etc.) for internal distribution
  • Participate in meetings with retailers, track opportunities within the portfolio
  • Provide backup and coordinate onsite tours for incoming retailers visiting properties
  • Meeting preparation including but not limited to ICSC conferences, conference calls, or group meetings/events, preparation and distribution of documents for meetings, assistance with selection and distribution of materials as required
  • Provide administrative support to leasing team and VP, Asset Management as needed, including, but not limited to; expense reports, travel coordination, schedule coordination

Role requirements:

  • University degree in business administration or equivalent
  • Minimum 2 years of work experience in corporate setting
  • Experience within the real estate industry is preferred
  • Familiarity with retail leasing, NER Calculation, Gross Rent Calculation, and reading leases
  • The position is ideally suited for a self-directed, self-confident individual who is approachable, cheerful and achievement oriented
  • Must possess excellent communication, mathematical and organizational skills
  • Ability to connect quickly with people in a poised, convincing and enthusiastic way; Understanding people well and using that understanding effectively in motivating/persuading others to act, will be an important aspect of the job
  • Ability to work at a fast pace and cooperatively with people; Teamwork and collaboration and flexibility within the company is essential
  • Operate with a strong sense of urgency and initiative
  • It is important in this job that goals are achieved
  • Ability to make decisions under pressure, generally calling on other people's ideas and advice
  • Creative problem-solving skills
  • Proficient in Word, Excel, PowerPoint
  • Experience with Yardi and/or VTS an asset
  • Knowledge of Adobe Illustrator is an asset
