What does an Associate Director, Commercial/Accounting do at Hogarth?

The Associate Director, Commercial/Accounting is a critical role within the Finance team, responsible for overseeing and managing a wide range of financial and administrative functions. This position requires a highly organized, detail-oriented individual with strong communication and problem-solving skills. The Associate Director will be responsible for ensuring the smooth operation of day-to-day financial activities, supporting project management, and providing essential administrative support to the studio. This role requires a proactive individual who can work independently, manage multiple priorities, and collaborate effectively with both local and remote teams.

Reporting lines and key stakeholders

This role reports to the Finance Director, North America.

You will work closely with production, operations, and finance.

Responsiblities:

Finance

  • Payables:Process COGS and house expenses, including document verification, purchase order matching, system approvals, submission to NY Finance, and vendor follow-up.
  • New Vendor Requests:Manage the onboarding process for new vendors, including securing signed NDAs, W8-BEN forms, WPP Code of Conduct agreements, and related party declarations. Complete vendor forms, obtain necessary approvals, and liaise with NY Finance.
  • Revenue:Maintain the Project Tracker and Revenue Tracker, working closely with the Studio Director to ensure revenue targets are met.
  • Reporting:Prepare weekly billing vs. forecast reports and other ad-hoc financial reports as required.
  • Billing:Prepare draft billing invoices, liaise with NY Finance, and prepare/send bill summaries and invoices to clients.
  • Timesheet Reporting:Prepare month-end recharge/staff relief reports for NY Finance.
  • Periodic Client Master Data Review:Ensure client information is accurate and up-to-date.
  • Revenue Recognition:Apply appropriate revenue recognition principles.
  • Manage Aged AR Reporting:Monitor and manage aged accounts receivable, escalating issues as needed.
  • Create and Maintain Vendor Details:Ensure accurate and complete vendor information is maintained in the financial system.
  • Tax: Files Canadian tax in accordance with local and federal laws.

Studio Project Manager Support:

  • Job Creation:Provide job creation support for Project Managers, including recharge projects.
  • Estimating:Assist with estimating simple projects and provide support to Project Managers on more complex estimates.
  • Purchase Order Support:Provide purchase order support for Project Managers.
  • Billing Review:Review billing invoices, including checking job profitability, vendor costs vs. estimate, actual hours vs. estimate, adding missing information, and ensuring the system (Maconomy) matches paper approvals. Ensure all steps (approvals, submissions) for estimating and vendor purchase orders are complete. Prepare draft billing invoices, including invoice descriptions. Print invoices and send to clients.

Qualifications & Experience:

  • Bachelor's degree in Accounting, Finance, or a related field.
  • 8 + years of experience in a similar role, preferably within the Production/Advertising/Creative industry.
  • Experience working with offshore and nearshore teams.
  • Strong understanding of accounting principles and financial reporting.
  • Excellent communication, interpersonal, and problem-solving skills.
  • Ability to work independently, prioritize tasks, and meet deadlines.
  • Strong attention to detail and accuracy.
  • Experience with budgeting, forecasting, and financial analysis.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Proactive and self-motivated, highly organized and detail-oriented.
  • Ability to work effectively in a fast-paced environment.
  • Team player with a positive attitude.
  • Strong problem-solving skills.
