Position: Human Resources Coordinator (Exempt Position)

SUMMARY
The Union of British Columbia Performers (UBCP/ACTRA) is an autonomous branch of the Alliance of Canadian Cinema, Television and Radio Artists (ACTRA) the national organization of professional performers working in the English-language recorded media in Canada. ACTRA represents the interests of 28,000 members across Canada.
UBCP/ACTRA is seeking a Human Resources Coordinator to join the team on a temporary basis to cover an extended maternity leave.
The Human Resources Coordinator, under the direction of the Executive Administrative Director, is accountable for coordinating the human resource functions of UBCP/ACTRA. In consultation with management and with support from external resources, the position is responsible for a diverse range of HR services across the organization with a focus on administering full-cycle talent acquisition and employee services, including HR initiatives and programming, labour relations advice and support, training and development, HR policies, and health and safety in the workplace.
RESPONSIBILITIES
- Act as a resource person by providing advice on HR-related matters and policy interpretation to internal and external stakeholders, as well as making recommendations on problem resolution
- Conduct activities related to HR administration, operations, and support.
- Assist and advise staff and the management team with respect to the collective agreement application and interpretation, employee benefits, compensation practices, and interpretation of policies.
- Draft and implement HR policies and procedures.
- Assess HR processes and activities to ensure compliance with the collective agreement and UBCP/ACTRA policies.
- Draft various HR communication items (e.g. memos, emails, letters, etc.) and distribute on behalf of UBCP/ACTRA when required
- Research and gather HR-related information, analyze data, write reports and presentfindings.
- Conduct special projects and make recommendations on improvements to HR services.
- Consult with the management team regarding staffing needs
- Co-ordinate and administer the full-cycle recruitment process, in accordance with internal policies and adherence to HR principles, employment equity, and collectiveagreements.
- Participate on selection panels where required.
- Draft documentation for and manage staffing activities related to employee matters (i.e., letters of appointment, orientation, leaves etc.).
- Ensure compliance with privacy and other employment-related legislation.
- Assist with the grievance process and preparation for arbitration.
- Provide support for and participate in the UBCP/ACTRA bargaining and labour relations (Management/Union) committees.
- Coordinate the performance management process and provide advice, coaching, and feedback to management.
- Identify emerging HR development needs and co-ordinate professional development activities for staff.
- Provide employees with information about benefit coverage, calculate pro-rated benefit amounts (HSA), and coordinate with insurance providers regarding benefitsissues.
- Participate as an employer representative on committees as assigned (e.g., Joint Health and Safety Committee).
- Manage workplace injury claims (WCB), STD/LTD claims, and general disability claims management.
- Assist management with investigative work as it pertains to complaints, discipline, and grievances.
- Administer and ensure accuracy of information in BambooHR.
- Maintain the BambooHR Software, ensuring entries in the system are accurate and adhere to the collective agreement and updating the shared vacation calendar.
- Update and maintain personnel folders (electronic and hard files).
- Assist with UBCP/ACTRAs diversity and inclusion strategy.
- Performs other HR-related duties as requested.
- May be required to perform ad-hoc administrative and support duties for the Management team and Executive Board when the Executive Assistant is on leave.
QUALIFICATIONS
- Certificate or Diploma in human resource management or labour relations and a minimum of two years experience in performing HR tasks or an equivalent combination of education and experience.
- Experience performing HR tasks in a unionized environment is preferred.
- Previous experience in an administrative or executive assistant position would be considered an asset.
- CPHR designation or candidacy would be considered an asset.
SKILLS AND ABILITIES
- Knowledge and applied understanding of human resources management principles.
- Knowledge of, and ability to interpret and apply, applicable collective agreements as well as relevant legislation such as the BC Human Rights Code, the Labour Relations Code and the Employment Standards Act.
- Knowledge of abilities management processes, attendance management principles and related legal requirements (e.g., Human Rights).
- Knowledge of WorkSafeBC regulations and related health and safety requirements.
- Excellent verbal and written communication skills, strong organization skills and attention to detail.
- Proficiency with MS Outlook, Word, Excel and Outlook.
- Proficiency with BambooHR would be considered an asset.
- Demonstrated commitment to high professional ethical standards.

SALARY: This position has a current annual salary of $88,785.63.
START DATE: July 21st, 2025.
