Our client, a Personal Injury Law Firm, is looking for a responsible administrative team member to provide daily office support. The successful candidate must have a minimum of 3 years' office experience. This position requires daily onsite attendance at our North York office (Yonge and Sheppard).
About the Role
- Answer phones; return client calls and deal with inquiries; escalate calls as necessary to respond to clients promptly;
- Do client intake, asking pertinent questions and engage with clients, gathering all preliminary information so case can be assessed internally
- Manage Excel charts to track intake calls and client data;
- Receive retainers, complete file opening and file related tasks using firm software Filevine;
- Responsible for updating information in Filevine ensuring all client info and details are accurately entered and maintained;
- Handle and distribute all incoming mail and faxes; handle couriers and mail
- Request and obtain documentation from clients;
- Send retainers out to clients; follow up as necessary;
- Assist with support matters for Filevine; liaising with help desk when necessary;
- Send out non retainer letters to callers;
- Assist with administration of insurance policies for After the Event Insurance program;
- Respond to various miscellaneous daily requests from remote staff;
- Filing; Photocopying; Scanning; order and maintain office supplies;
- Update document briefs and files; prepare Notice letters;
- Schedule appointments and send out Zoom invitations;
- Book meeting/party rooms; set up; make arrangements as required;
- Perform miscellaneous general administrative office support tasks as assigned.
- Ability to multi-task and work efficiently;
- Excellent telephone manner; able to initiate and handle a large volume of call backs for prospective clients;
- Ability to quickly adapt and learn new software, processes and procedures;
- Must be able to work independently as well as in a team setting;
- Superior attention to detail, organization and administration;
- Excellent written and oral communication and data entry skills: good typing skills to gather accurate intake information
- Strong work ethic, initiative, and accountability;
- Legal background preferred;
- Solid working knowledge of MS Office.
