About The Role

As the Executive Assistant at Baptist Housing, you will serve as a central point of coordination and support for the CEO, COO, Board of Directors, and senior leaders. Your responsibilities will span everything from managing executive calendars and communications to organizing board governance activities and key organizational events. With a high level of professionalism and discretion, you'll ensure that strategic priorities move forward smoothly, confidential information is handled with care, and administrative operations reflect the excellence and integrity of our mission. As an ambassador of our values, you'll help create a culture of service, collaboration, and Christ-centred leadership across all levels of the organization.

Key Responsibilities

Executive Support

  • Manage calendars and scheduling for the CEO and COO, resolving conflicts and coordinating priorities
  • Draft correspondence, take meeting minutes, and track action items to support senior leaders
  • Plan and coordinate internal and external meetings, retreats, and special events
  • Research and prepare briefing materials for emergent issues or upcoming responsibilities
  • Coordinate conference and travel logistics for board and executive team

Program & Ministry Support

  • Coordinate administrative functions for housing operations where strata councils are in place
  • Liaise with denominational partners regarding annual reporting and grant programs
  • Administer programs in partnership with denominational ministries, including eligibility assessment and communications

Board Governance

  • Prepare agendas, motions, and minutes for board and committee meetings
  • Coordinate the development and distribution of board packages
  • Maintain board records and manage board portal content
  • Support policy governance processes and schedule reviews
  • Facilitate onboarding and orientation for new board members

Leadership & Relationship Building

  • Model Baptist Housing's Christian values and demonstrate servant leadership in all interactions
  • Foster collaborative, respectful relationships with residents, team members, families, and external partners
  • Contribute to a positive and engaging team culture

Requirements

  • Demonstrated alignment with Baptist Housing's Christian values and Statement of Faith. The successful candidate will be required to review and sign our Statement of Faith as part of the onboarding process.
  • Bachelor's degree, relevant diploma, or equivalent experience
  • Minimum 5 years' experience as an Executive Assistant
  • Proficient in Microsoft Excel, Word, Outlook, Adobe, and SharePoint
  • Exceptional interpersonal and conflict-resolution skills grounded in values-based professionalism
  • Strong verbal and written communication skills
  • Collaborative and team-oriented, with ability to engage remote and diverse teams
  • Highly detail-oriented with a focus on quality, accuracy, and service
  • Strong numerical, analytical, and organizational abilities
  • Excellent time management skills with urgency and accountability
  • Flexible and adaptable to change; thrives under pressure and tight deadlines
  • Demonstrates discretion, diplomacy, and sound professional judgment
  • Committed to continuous learning, innovation, and process improvement
  • Maintains composure and effectiveness amidst frequent interruptions
