Wealth Advisor Administrative Assistant
DUCA is looking for a Wealth Advisor Administrative Assistant to join our growing team!
Job Purpose & Summary
The Wealth Advisor Administrative Assistant will work closely with and support a group of Wealth Advisors in all aspects of DUCA's Wealth Management program, including but not limited to servicing existing Members (clients) and business development. The Wealth Advisor Administrative assistant is responsible for preparing documents, scheduling client meetings, portfolio reviews, monitoring portfolios, processing trades, and many other administrative activities.
As partners, DUCA Financial Services Credit Union Ltd. and Aviso provide a fully comprehensive wealth management offering that encompasses a holistic Member-centric experience delivered through a network of leading financial and investment professionals. The Wealth Advisor Administrative Assistant works closely with both DUCA's Wealth Advisors and our Aviso partners to help DUCA Members with their wealth management needs.
Key Accountabilities & Duties
- Manage daily administrative functions, including communicating with Members, scheduling meetings, and maintaining organized Member files
- Act as the first point of contact for Members and respond to Member inquiries in a professional and timely manner
- Regularly monitor Member portfolios and assist assigned Wealth Advisors in the overall portfolio management tasks including trade execution and review of equity research on existing stocks in portfolios.
- Coordinate Member review meetings and prepare information needed for meetings
- Coordinate and execute marketing initiatives, including events, phone campaigns and print marketing as well as other Member management initiatives.
- Some business development activities as needed.
Occupational Experience & Education Requirements
- 1-3 years of experience in the Banking/Investment/Wealth Management industry working with wealth management and high-touch clients in an administrative role
- Post-secondary degree considered an asset
- Investment Funds In Canada (IFC) course or Canadian Securities Course (CSC) considered an asset
- Willing to take industry related courses/training as recommended
Knowledge, Skills & Attributes
- Passion for Member service with exceptional customer service, relationship building, problem solving, and follow-up skills
- Excellent communication skills, both verbal and written
- Ability to self-manage workload with strong time management, planning, prioritization, and organizational skills
- Proficient in Microsoft Office Suite of products
- Experience or familiarity with Dataphile, Morning Star Advisor, Retirement tools , and/or Market Q considered an asset
- Demonstrated ability to take initiative and work independently with the ability to exercise mature judgement and decision-making

- Normal office environment with occasional travel to DUCA's branches

Salary: The annual salary range for this position starts at $51,904. Actual annual base salaries will vary depending on relevant job-related factors such as experience, knowledge, skills, qualifications, and education/training. Depending on the position, DUCA's total compensation package may include incentive compensation tied to company and individual performance or other benefits.
