The mission of the Maintenance Coordinator is to ensure customer satisfaction and productivity. You will be managing people, working activities, and assisting in condo enhancements. The Maintenance Coordinator is the single point of contact for their crew members, knowing all there is to know about the properties. You are the face of the company and the leader of the maintenance division.

The Maintenance Coordinator will oversee the maintenance of lawns, beds, and small enhancement jobs in the summer, and the sidewalk and roadway snow removal in the winter and perform regular property visits to ensure site/service quality and to make enhancement recommendations. You will prepare clear and detailed job handoff information and ensure all the tools required are in place for your crews to perform the work as sold and to the expectations of our customers.

You will conduct initial and ongoing training and evaluations for staff spending time with crews to help them improve their skills. The primary responsibility of a Maintenance Coordinator is to oversee and enhance employee satisfaction and morale, ensuring that GML remains an excellent workplace. You will report to the Office Manager who will support and guide and help to continually develop your skills and assist where necessary.

Core Accountabilities Include:

  • Lead, manage and hold your teams accountable
  • Ensure the quality standards of GML are delivered and maintained
  • Contribute to the sales efforts by helping your customers with their property improvements over time and making recommendations
  • Manage and keep all GML machinery, vehicles, and facilities in top working condition, collaborating with our Shop Team

Some of your day-to-day tasks will include:

  • Attending and holding weekly internal meetings with other members of the team to keep in touch on projects and initiatives within the company and cascade these messages to your staff.
  • Daily and weekly communication and coaching with Crew Leaders to help them develop and progress towards their goals.
  • Weekly and daily digital scheduling of your crews using our software & systems, including 5am morning organizing of staffing needs from a pool of contractors and full-time staff on hectic snow days.
  • Planning for staff, equipment, and material needs for jobs ahead of time - communicating needs to the Operations Manager.
  • Ensuring service calls get resolved in a timely manner by dispatching them to the appropriate people and following up.
  • Attending customer meetings for enhancement sales, networking, service concerns, spring walkthroughs, etc.
  • Visiting your customers' properties for: preparing estimates on enhancement work, quality control, efficiency issues, and staff coaching opportunities.
  • Creating estimates and making recommendations for your customers' property on how they should best spend their funds on enhancements and property issues- following up on submitted estimates and proposals.
  • Taking sold jobs and preparing job packages and proper handoff notes for the Crews.
  • Reviewing the performance of jobs and identifying where improvements can be made through training or estimating accuracy.

Applicants must have/be:

  • A minimum of 2 years experience in a management/leadership role
  • A minimum of 2 years experience in the green & snow industry
  • A minimum of 2 years' relevant customer service experience
  • Excellent written and verbal communication skills
  • Proficient with field service software (scheduling, estimating, route building, etc.)
  • Time management skills to prioritize tasks
  • An early morning person you normally wake up by 5:30am not just for work
  • An outgoing personality and able to connect with people effectively
  • Willing to work evenings and weekends when necessary.
  • A valid and clean Class 5 drivers license
  • Excellent references

Position Type & Schedule:

Full time position with high variability in workload: Spring and Fall are heavy with season shifts, setup, and prep; Summer is busy with enhancement inspections, estimates, and sales; year-round hours spent on customer communication, meetings, crew management, and working on internal projects.

Generally, the work occurs Monday to Friday 6:15 - 4:15 (7-days in winter), sometimes evening and weekend work is necessary during busy seasons and for customer meetings. Work will be performed at our shops and offices as well as onsite visits to customers properties.
