As the first face our visitors see, the Receptionist & Office Administrator sets the tone for the energy and excitement at the Canadian Tire Centre. This role plays a vital part in ensuring smooth day-to-day operations off the ice. Balancing front desk duties with administrative responsibilities, youll be the go-to team member.
The ideal candidate is professional, personable, and able to multitask under pressure. Whether youre welcoming guests, supporting internal teams, or coordinating officelogistics, youll be a key contributor to keeping things running smoothly behind the scenes.

Job Responsibilities
Front Desk
- Provide exceptional customer service to all visitors, ensuring a warm and professional first impression.
- Greet clients and promptly notify the appropriate team members of their arrival.
- Answer and direct incoming calls through the main switchboard in a courteous and efficient manner.
- Respond to general inquiries or route them to the appropriate staff member.
- Monitor and manage voicemail messages, ensuring timely responses or redirection.
- Manage the general email inbox, responding directly or forwarding messages as needed
- Maintain up-to-date reception manuals and shared internal resources.
- Manage boardroom calendars to ensure accurate, conflict-free scheduling.
- Coordinate all meeting logistics, including room setup, AV/technology requirements, catering, and guest access.
- Sort and distribute incoming mail and packages in a timely manner.
- Manage outgoing courier shipments, ensuring proper documentation and tracking.
- Maintain a log for high-value or sensitive deliveries.
- Promptly notify team members of parcel deliveries.
- Ensure the reception area, boardrooms, front office, and kitchen are clean, organized, and presentable at all times.
- Order and replenish kitchen and common area supplies as needed.
- Monitor and maintain office supply inventory, placing orders as required.
- Respond to staff supply requests and ensure essential materials are readily available.
Administrative Support
- Provide administrative support to the Executive Assistant and department leads, including printing, scanning, filing, and document organization.
- Assist with ad hoc tasks and special projects as assigned.
Job requirements
- Bilingual in French and English is considered a strong asset.
- 2-4 years of previous experience in a front-desk or receptionist role.
- Excellent telephone etiquette and communication skills
- Ability to remain calm and effective under pressure and manage competing priorities.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office, including Excel, Word, Outlook, and PowerPoint.
- Collaborative and dependable team player with a proactive and professional approach.
- Availability to work occasional evenings, weekends, and holidays based on operational needs.
