Recognized throughout Southwestern Ontario as a leader in childrens (birth-18 years) mental health, Vanier Childrens Mental Wellness provides innovative treatment programs and services for children, experiencing emotional and behavioural challenges. As a registered charity and not-for-profit agency, Vanier has been in operation for over 54 years and is funded by the Ontario government. Vanier Children's Mental Wellness mission is to improve the lives of infants, children, and their families through the provision of mental health services based on clinical excellence, collaboration, partnerships, and system leadership. Appointed by the Ontario Government as Lead Agency for Child/Youth Mental Health (CYMH) System Management in London-Middlesex (2014), Vanier is also accountable for community-wide Child/Youth Mental Health System Planning (MCYS: Moving on Mental Health).
Position Summary:
The primary function of this position is to assist the community and intensive services teams. In addition, the incumbent carries out other clerical/administrative duties and projects as required or assigned.
Education/Training/Experience:
- Grade 12 diploma supplemented by a two-year office administration diploma.
- Two years relevant experience working in an administrative assistant capacity.
- Experience working with client database systems or other business/administrative database systems.
- Experience in minute taking and transcription.
- Experience preparing letters, reports and memos in an error-free manner.
- Familiarity with privacy legislation.
Job Duties:
- Greet clients, families, and visitors in a warm and professional manner.
- Answer and direct phone calls, taking messages as needed.
- Assist clients/visitors checking in using Alice reception.
- Ensure the reception area is maintained in a good condition to welcome clients/visitors.
- Distribute incoming mail and prepare outgoing mail for pick-up.
- Responsible for courier requests.
- Data inputting for evaluation outcomes for crisis and intake team.
- Support with booking training space and maintaining registration lists for staff training.
- Responsible for the case management report templates.
- Responsible for filing all correspondence for active client files and archiving closed files.
- Complete talk-in intake packages and coordinate appointment times with talk-in workers.
- Record and transcribe minutes as requested by the various community and intensive teams.
- Review, format and send out reports and other correspondence materials for the teams.
- Maintain and update team information - Brochures/forms, etc.
- Assist with the preparation of reports and presentations, as needed.
- Other duties as assigned.
Employment Type:
- Fixed term contract from June 30, 2025, to September 5, 2025.
Salary:
- $21.96 - $24.88 per hour.
Start Date:
- June 30, 2025.
Hours of work:
- 35-hour work week.
