Finance and Payroll Coordinator
Full-Time, 40 hours per week - Monday to Friday
Youth Empowerment and Support Services (YESS) is currently seeking a qualified Finance and Payroll Coordinator to support the organization's financial and payroll operations by managing the day to day accounting functions and ensuring accurate internal and external reporting.
What We Do
YESS is a not-for-profit agency working with youth facing difficult realities. Based in Edmonton, our Youth Support Centre provides immediate and low-barrier 24/7 sleep support and individualized wrap-around supports for young people aged 15 - 24.
We work collaboratively within a network of care focused on the prevention of youth homelessness by providing youth with the necessary supports to stabilize their housing, improve their wellbeing, build life skills, connect with community, and avoid re-entry into homelessness.
What You Will Do
Reporting to the Finance Controller, the Finance and Payroll Coordinator play a pivotal role in supporting YESS's financial health by managing the day-to-day accounting operations, payroll processing and reporting requirements. They will be responsible for preparing both internal and external financial reports, assisting with fiscal planning and collaborating with the Finance Controller on process improvement.
Responsibilities Include:
Accounting Operations
- Manage day-to-day accounting functions, including accounts payable and receivable.
- Prepare journal entries and maintain supporting documentation.
- Conduct regular general ledger maintenance and account updates.
- Reconcile bank records with the general ledger and donation software on a weekly basis.
- Perform monthly balance sheet reconciliations to ensure accurate financial reporting.
- Maintain and reconcile petty cash monthly or as required.
- Assist in review and updating of accounting policies, processes and procedures.
Financial Reporting
- Prepare timely and accurate financial statements in accordance with the established reporting schedule
- Generate monthly variance reporting templates for internal departments and support variance analyses.
- Compile and review month-end reporting packages for the Finance Controller.
- Support the preparation of annual fiscal budget templates and assist in the consolidation and presentation process.
External Reporting
- Prepare and reconcile financial reporting for external agencies such as AGLC, SunLife, and WCB.
- Asist with financial reporting for government contracts, grants and funding applications.
- Support the preparation and submission of the annual T-3010 filing.
Payroll Administration
- Process bi-weekly payroll, including reviewing and reconciling employee timecards.
- Maintain and update payroll records in conjunction with HR for new hires, terminations, and ongoing staff.
- Prepare and process Records of Employment and final checks for terminated employees.
- Complete routine audits on employee data in ADP
- Reconcile and review annual T4 statements for accuracy
- Facilitate payroll-related inquiries and provide support for pay stub access and other functions
- Oversee leave administration duties, ensuring entries align with employment contracts and organizational policy.
- Host information sessions with staff to address payroll and leave-related questions and improve understanding
- Maintain working knowledge of Alberta Employment Standards Code and ensure payroll practices are complaint.
Continuous improvement and Development
- Participate in ongoing professional development and remaining informed of best practices in financial and payroll management.
- Engage in regular performance reviews and contribution to team improvement initiatives.
- Attend major YESS events and meetings as required to support financial operations.
- Other duties as assigned
Additionally, you will provide a professional level of service to donors, promote the agency in a positive manner to the outside community and share information, communicate, and collaborate with other YESS staff.
What You Bring
- Post-secondary diploma or certificate in Accounting, Payroll or a related field.
- Intermediate to advanced Excel skills.
- Minimum of 3 years of experience in accounting and payroll processes.
- Proficient with accounting and payroll software, including Sage Online and ADP.
- Strong organizational and time management skills.
- High attention to detail and commitment to accuracy.
- Familiarity with charitable or non-profit financial reporting is an asset.
- Relevant designation or working towards obtaining designation is preferred.
Prerequisites
- Clear police clearance (CRIM) within the last six months
- Child and Youth Intervention (CYIM) check both obtained within the last six months
