Job title: Human Resources Coordinator
The Human Resources Coordinator is a key member of the Human Resources team at the Capilano Group of Companies (CGC), which includes Capilano Suspension Bridge Park (CSBP), Stanley Park Pavilion (SPP), Prospect Point (PP), Moraine Lake Lodge (MLL), Cathedral Mountain Lodge (CML), and any future acquisitions. This role supports and facilitates all aspects of Human Resources across the organization, including recruitment and selection, onboarding, training and development, health and safety, performance management, employee engagement, events, HR administration, and the development and implementation of HR policies and procedures. Reporting to the HR Manager, the Human Resources Coordinator collaborates with departmental leadership to uphold and promote the core values, mission, and principles of each CGC property.
The ideal candidate is knowledgeable in HR practices and policies, capable of handling diverse HR-related tasks in a fast-paced environment, and is a friendly, approachable individual who enjoys providing support and is eager to grow their career in Human Resources.
Responsibilities:
Recruiting & Onboarding:
- Manage the recruitment process, including posting job openings, reviewing resumes, conducting phone screens and interviews, and coordinating with department heads.
- Complete reference checks,
- Coordinate company recruiting activities, such as hiring events, and attend as required,
- Attend job fairs and network with local schools and organizations,
- Oversee new employee onboarding, ensuring a smooth transition into the company culture and processes,
- Assist with uniform orders, distribution, inventory management, and appearance guidelines.
- Address employee concerns and resolve workplace issues in a fair and consistent manner,
- Provide guidance to managers and employees regarding company policies, procedures, and employment laws,
- Maintain accurate employee records and prepare reports as required by management.
- Support performance review processes, including goal setting, performance reviews, and feedback mechanisms,
- Assist in identifying training and development needs to improve employee performance.
- Coordinate employee training programs, workshops, and team-building activities,
- Deliver new hire orientation and other training programs as required,
- Assist in promoting a positive work environment that encourages continuous learning and growth.
- Participate in the planning and execution of Team Cap Committee Events,
- Assist in the promotion and administration of HR incentive plans and other employee recognition and engagement activities,
- Own organization and communication of the Vancouver Tourism Awards,
- Support and attend Capilano Group Events, and marketing promotions.
- Assist HR Manager in the review and update of the Corporate Policy Manuals,
- Ensure knowledge of the Employment Standards Act, Human Rights Code, Worker Compensation Act and other Employment Legislations are up to date. Work with the HR manager to implement changes in procedure and policy, as necessary,
- Maintain and update Human Resources Information System (Avanti),
- Maintain employee filing system, HR forms and supplies,
- Prepare and distribute employee memos and other communications from HR,
- Champion the company's scheduling software When I Work (WIW); supporting department leads, posting memos, and troubleshooting issues,
- General administrative duties as assigned,
- Perform additional responsibilities, as requested from the Human Resources Manager and Ownership.
The HR Coordinator is a member of the Joint Occupational Health & Safety Committee.
- Complete JOHS required training.
- Serve as a resource for team members who have questions or concerns about health and safety issues in the workplace.
- Submit First Aid reports to WorkSafe ensuring documentation is up to date and accurate
- Assist with first aid supply and equipment orders, and scheduling team members for first aid training.
- Promote team member safety and wellness initiatives, including safety education and mental health support.
- Participate in first aid and critical incident drills as required.
- 2-5 years of experience in HR role,
- Diploma in Human Resource Management or Business Management or an acceptable combination of education, training and experience is an asset,
- Min 2 yrs. experience in a guest service environment,
- Detail oriented,
- Knowledge of Employment Standards Act, Human Rights Code, Worker Compensation Act and other Employment Legislations,
- Ability to maintain confidentiality and handle sensitive information.
- Must be extremely proficient in Microsoft Word, Outlook, Excel,
- Excellent communication, interpersonal, and organizational skills.
- Must be available for a variety of shifts, including evenings, weekends, and holidays.
- Requires extended periods of sitting and occasional physical activity such as bending, reaching, kneeling, and stretching.
- Work may occur in varied weather conditions (e.g., rain, sun, snow).
- One shift per week will be scheduled off-site at Stanley Park Pavilion.
- Occasional travel is required for meetings, site visits, and extended business trips.
