ABOUT THE ROLE

The role of a Project Coordinator involves close collaboration with project team members, managers, and leads to facilitate the efficient delivery of division projects. With a focus on administrative tasks like document distribution, report collation, and communication support, the Project Coordinator plays a pivotal role in project coordination, including schedule and risk management. The ultimate objective is to contribute to the timely completion of projects and the submission of high-quality deliverables within the division.

Job Responsibilities

Relationship Building and Liaison

  • Build strong and collaborative relationships with the Clean Out project teams, acting as a point of contact and liaison for the Project Manager, clients, and subcontractors.

Project Planning and Documentation

  • Assist in defining project scope, creating work plans, and documenting objectives, actively involving relevant stakeholders.
  • Attend internal and external meetings to review project status, ensuring open communication and full compliance for successful project completion.
  • Coordinate and facilitate contract close-out requirements, collecting documentation, and passing deliverables to internal and external parties.

Communication and Client Liaison

  • Identify, monitor, and report project-related issues, scope changes, scheduling conflicts, and variances to project stakeholders.
  • Liaise with clients to define requirements, ensuring program and project expectations are met as projects evolve.

Administrative and Safety Support Functions:

  • Provide clerical support for project teams, Finance, Sales, HR & Safety, distributing required documents, and maintaining job data.
  • Support project teams and Project Manager by inspecting equipment, managing inventory, and delivering parts to crews.
  • Assist the HR & Safety in facilitating and scheduling safety program training and record-keeping.

Resource Planning and Quality Assurance:

  • Provide input on resource planning, availability, and allocation based on project timelines.
  • Perform quality assurance and quality control functions to ensure project standards are met.

Qualifications
  • College diploma in Project Management, or related education and experience;
  • Demonstrated multitasking, organizational and time management skills;
  • Strong interpersonal and communication skills;
  • Leadership or supervisory experience an asset;
  • Experience with a variety of computer programs and systems is an asset.
