Engineers and Geoscientists British Columbia is currently searching for an Administrative Assistant, Regulation of Firms to join our team in Burnaby!
The Administrative Assistant, Regulation of Firms is responsible for the administrative functions of the Professional Practice, Standards, and Development department related to firms. This includes preparation of documents, customer support for firms, maintaining our internal database, and support for advisory groups and committee meetings. This position also administers the annual renewal process for firms and conducts follow-ups as required. The successful candidate would play an important part in improving our regulation of firms program.

WHAT YOU WILL BE DOING

  • Maintain records in our internal database relevant to Regulation of Firms.
  • Assist the Manager, Permit to Practice in management of the Practice Review of firms program.
  • Assist the Manager, Compliance Programs in organizing and scheduling training sessions.
  • Assist the Manager, Regulation of Firms Auditing with administration of audits as well as training workshops.
  • Assist the Legal Counsel, Policy, Audit and Practice Review with initial drafting of correspondence and general administrative tasks.
  • Perform general office duties including formatting/drafting letters, printing correspondence, meeting support and filing.
  • Under supervision of manager, issue correspondence to registrant firms.
  • Administer the annual renewal process for registrant firms and including follow-ups with those that are delinquent.
  • Provide administrative support, as well as telephone and email customer service support, to a variety of programs within the PPSD department.
  • Support Permit to Practice approval and cancellation procedures.
  • Provide administrative support to a working group and advisory group including meeting scheduling, set-up, tear-down, minutes, distribution of materials, and maintaining associated Sharepoint sites.
  • Schedule and organize meetings including arranging catering and corresponding with attendees as required.
  • Proctor compliance auditor training exams (ISO 9001).
  • Draft and maintain standard operation procedures (SOPs) relevant to role and provide training to new staff on SOPs.
  • Other duties as assigned by management.

WHAT YOU BRING TO THE TABLE

  • 2-5 years administrative experience in an office environment.
  • Post-secondary diploma, certificate, or degree is required.
  • Strong computer and word processing skills.
  • Ability to stay organized and manage competing priorities.
  • Excellent communication skills and ability to work well as a member of a team.
  • Experience with Microsoft Office Products: Word, Excel, Outlook, PowerPoint.

This role offers a competitive compensation and benefits program including a salary within our hiring range of $53,500 to $59,500. Placement within the hiring range will be based on candidate experience relative to the requirements of the role. Additional details on our generous benefit offerings are found below.
