The Corporate Services Administrator provides comprehensive administrative support across board and committee services, contract and insurance administration, and other corporate service functions. This role ensures the effective coordination and documentation of key processes and supports the CEO, Manager of Corporate Services, internal departments, and cross-functional initiatives to enhance organizational efficiency.
Under the direction of the Manager, Corporate Services, the Corporate Services Administrator is responsible for the following:
  • Board and Committee Administration
  • Acts as the primary board and committee support administrator on behalf of the CEO.
  • Manages administrative processes to ensure the completion of tasks related to board services, including:
  • Gathering materials and assembling draft board and committee meeting packages.
  • Distributing finalized materials to board and committee members.
  • Recording accurate meeting minutes and completing final drafts in a timely manner.
  • Coordinating board communications and booking meetings as directed.
  • Organizing board activities and logistics as assigned by the CEO.
  • Preparing and setting up required technology and equipment for meetings.
  • Maintains the highest standards of confidentiality and discretion when handling sensitive information.
  • Supports the CEO with calendar management and external communications.
  • Leads the planning and organization of key board functions, including the Annual General Meeting and board orientation sessions.
  • Contract Administration
  • Maintains and refines contract templates for vendors, service providers, sponsors, and event partners to ensure clarity and policy compliance.
  • Establishes and manages a centralized contract management system.
  • Regularly update templates to reflect legal, regulatory, and organizational changes.
  • Conducts initial reviews of contracts to identify key terms and considerations.
  • Oversees the administration of general corporate, sponsorship, and event-related contracts.
  • Insurance Administration
  • Maintains a centralized repository for insurance policies, certificates, and documentation.
  • Ensures records are accurate, current, and accessible for audits and internal reviews.
  • Supports the insurance renewal and claims management processes.
  • Develops and maintains standardized insurance requirements for vendors and contractors.
  • Tracks and monitors uninsurable losses.
  • General Administration
  • Prepare reports and assists with special projects as assigned
  • Provide administrative support to accounting, human resources, and business services as requested.
  • Provide front desk coverage as required.

Here is what you bring:
  • Degree or certificate in business administration, management, or related field; equivalent experience will be considered
  • Minimum of 2-5 years of experience in business administration, or related work experience.
  • Experience with Microsoft suite and SharePoint.
  • Prior experience with board and committee services is an asset.
  • Excellent verbal and written communication skills, including proficiency in report writing.
  • Strong organizational skills and the ability to manage multiple projects and deadlines.
  • Self-motivated with the ability to work independently and take ownership of responsibilities.
  • Effective at working collaboratively with cross-functional teams.
  • Skilled in time management and prioritization.
  • Familiarity with contract and insurance administration processes is an asset.
  • Technologically proficient and adaptable to new systems and tools.
