The Ward/ Staffing Clerk reports to the Director of Care and is expected to assist with all the day-to-day facility wide and nursing administrative functions as directed by the Director of Care.

Responsibilities:

  • Assists in the production and distribution of nursing department communications under the direction of the Director of Care.
  • Responsible for word processing of all correspondence for the Nursing Department and Executive Director.
  • Updates policy and procedures manuals.
  • Organizes the years of service, educational achievement, and excellent attendance awards with the Staff Development Coordinator.
  • Maintains open communication at all levels.
  • Assists with the completion of the annual budget for the nursing department
  • Assists with the completion of variance reporting for staffing hours with Director of Care
  • Orders equipment/supplies/stationary for the nursing department and administration.
  • Ensures appropriate staffing patterns, effective utilization of team members and materials management.
  • Follows Absenteeism control programs and maintain attendance/absenteeism reports and communicate any recurrent absenteeism to the Director of Care
  • Responsible for recording and tracking agency utilization and billing.
  • Effectively maintains care records that emphasize and can be measured as delivering on a daily basis a person-centered approach.
  • Demonstrates good knowledge of Collective Agreement, Employment Standards Act, Labour Relations Act, and Occupational Health & Safety Act.
  • Manages all vacant schedules due to employee absences such as LOAs, vacation requests, sick calls, and administrative leaves.
  • Actively assigns employees work schedules and maintains staffing schedules for the nursing department using the Scheduling System.
  • Uses staff schedule care system and ensures team member coverage for any unfilled shifts by reaching out to Home's employees first according to collective agreement then staffing agencies as directed/needed.
  • Completes and maintains scheduling and payroll for all nursing personnel.
  • Books agency personnel as directed.
  • Provides leadership and supervision to reception employees if applicable.
  • Sets the vision, goals and objectives for the department in collaboration with the team members and in line with the overall Home's vision and strategic directions
  • Motivates team members and establishes incentive programs that recognize excellent performance.
  • Submits documentation and reports to the Executive Director and/or Director of Care as requested.
  • Participates in facility-wide quality improvement activities.
  • Maintains records management
  • Any and all other tasks as assigned

Qualifications:

The qualifications needed to join our family are as follows:

  • High School graduate or G.E.D. with courses in typing and mathematics. Nursing background is an asset.
  • Working knowledge and high comfort level to use computer hardware and software programs.
  • Expedient data entry skills.
  • Ability to work in a fast-paced environment with changing priorities, have exceptional time management skills and to perform well under pressure with tight deadlines.
  • Sense of responsibility, integrity, and confidentiality.
  • On the job training in business office procedures in this facility.
  • Must be well groomed, patient, courteous, tactful, and pleasant.
  • Ability to be non-judgemental towards others
  • Ability to have meaningful engagements with others
  • Must have the ability to cooperate with other personnel.
  • Must be level headed and calm in emergencies.
  • Second language is an asset.
  • Must have a clear vulnerable sector screen, no older than 6 months, TB test results less than 6 months old, must be able to provide three supervisory reference
