National Toronto has an opportunity available for an Event Specialist to help support the growth of our dynamic organization. The successful candidate will be expected to provide administration and logistical support to the events department. A sharp aptitude for learning and information retention, with a strong multi-dimensional skillset are key to success in this role.

WHAT YOU'LL DO

  • Understand completely all procedures, standards, specifications, guidelines, and training programs.
  • Ensure that all guests always feel welcome, are given responsive, friendly, and courteous service, and have a remarkable experience working with us.
  • Ensure company costs are controlled without sacrificing perceived value and client satisfaction.
  • Manage all initial inquiries to secure client contracts and spends after delegating to Event Assistant including venue walk-throughs and site visits.
  • Develop and maintain favorable relationships with new and existing clients to increase revenue and secure repeat business to meet or exceed stated targets and goals.
  • Directly oversee Event Assistant(s) training, performance and productivity and help them progress towards their goals.
  • Event planning and design.
  • External product or services sourcing when needed to bring event concepts to fruition and exceed client expectations.
  • Work closely with Business Development and Sales teams on all newly secured clients to ensure all contractual terms agreed upon are carried out.
  • Maintain the integrity of information contained in Triple Seat, keeping the calendar updated and accurate.
  • Ensure that organizational goods and services consistently meet client needs and relay any feedback to the applicable Operations leadership.
  • Provide event quotes, sustaining and renewing client contracts.
  • Provide support to clients over email, phone, or onsite as necessary.
  • Organize and execute existing client drops throughout the year, thank you cards, gift cards etc. Maintain office calendar to coordinate workflow and meetings.
  • Sales & Marketing as assigned (special event planning, execution, and reporting), marketing and identity collateral requirements).
  • Periodic financial reporting and budgeting.
  • Compliance with all Concorde Standard Operating Procedures.
  • Health & Safety Program compliance and active participation, compliant WCB Reporting and execution of Risk Management strategies.
  • Maintain high standards to promote company values, mission, and culture.
  • Collaboration and teamwork throughout all levels of the organization exhibiting leadership to drive shared success.
  • Maintain highest level of consistency and adherence to company culture and polices.
  • Provide ambassadorship for the company by positively representing it within your venue, head office, other venues, and at company and public events.
  • Other administrative and management duties as required.

WHAT YOU HAVE

  • 3+ years' previous experience in a similar role with demonstrated success is required.
  • 1 or more years experience in a supervisory or management role is strongly preferred.
  • Experience coordinating large-scale events.
  • Well organized with a keen eye for detail and the ability to identify, analyze and solve technical and theoretical problems.
  • Advanced English writing and grammatical proficiency.
  • Recognized ability to build and maintain positive and collaborative working relationships with staff, clients, and vendors at all levels.
  • Integrity, discretion and judgment with tact and diplomacy on confidential matters.
  • Advanced skills with Microsoft Office Suite.
