The primary responsibility of the Fleet Management System Administrator is to oversee and optimize the fleet management system, ensuring efficient and secure operation. This role plays a critical part in supporting the organization's transportation and logistics operations by maintaining, configuring, and troubleshooting the fleet management software. These efforts contribute to the enhancement of the fleet's productivity, safety, and cost-effectiveness. Ensures the efficient and effective operation of vehicles and equipment maintenance schedules, compliance, and overall utilization. The Administrator plays a key role in optimizing fleet and equipment performance, ensuring safety standards, and supporting operational needs to enhance productivity and cost-effectiveness across traffic operations.
What you will be responsible for:
Fleet and Equipment Support
- Develop and maintain reports analyzing repair and maintenance (R&M) costs and work with managers to identify trends and efficiencies.
- Consolidate and analyze telematics, geo-location data, and fuel reports for auditing purposes.
- Present findings and data-driven insights to operations leads and other stakeholders.
- Answer fleet telephone line and address inquiries from field staff and vendors regarding fleet-related matters.
- Consolidate purchase orders, insurance records, and R&M data into centralized reporting tools.
- Responsible for entering invoices into Fleetwave.
- Maintain accurate records of fleet-related communications and activities.
- Collaborate with the Fleet Manager to ensure timely and efficient resolution of fleet issues.
System Maintenance:
- Maintain and update the fleet management system, including software, hardware, and associated databases.
- Ensure the system remains operational and up to date with the latest features and security patches.
Configuration and Customization:
- Configure the fleet management software to align with the organization's specific needs.
- Customize the system to improve data accuracy, reporting, and analysis for optimal decision-making.
Troubleshooting and Support:
- Provide technical support and troubleshooting assistance to resolve issues that may arise with the fleet management system.
- Collaborate with internal teams and external vendors as necessary to ensure minimal downtime.
Data Integrity:
- Conduct regular audits to ensure data integrity across all sources.
- Oversee data management and ensure the accuracy and integrity of information within the system.
User Training:
- Train and support end-users, such as fleet managers and drivers, in effectively utilizing the fleet management system.
- Develop training materials and provide ongoing guidance.
Security and Compliance:
- Implement and enforce security measures to protect sensitive data within the system.
- Ensure compliance with relevant industry regulations and best practices.
Performance Monitoring:
- Monitor system performance, identify areas for improvement, and implement enhancements to optimize fleet operations.
- Generate reports and analytics for management to assess performance.
Vendor Relations:
- Collaborate with software vendors to improve data accuracy and reporting capabilities. Continually enhance the platform to meet the business needs.
- Manage relationships with software and hardware vendors, including contract negotiations, system updates, and troubleshooting assistance.
Documentation:
- Maintain detailed documentation of system configurations, processes, and procedures.
- Keep records of system changes and updates for audit and reference purposes.
Continuous Improvement:
- Stay current with industry trends and emerging technologies related to fleet management systems.
- Propose and implement improvements to enhance the efficiency and effectiveness of the system.

What we need from you:
- A bachelor's degree in information technology, computer science, or a related field.
- Proven experience in fleet management system administration or a related IT role.
- Strong knowledge of fleet management software and hardware components.
- Proficiency in database management and system configuration.
- Excellent troubleshooting and problem-solving skills.
- Strong communication and interpersonal skills.
- Knowledge of transportation and logistics operations is a plus.
- Familiarity with security protocols and compliance requirements.
- Ability to work independently and as part of a team.
- Detail-oriented and highly organized.
