Position Description

Are you an organized, outgoing HR student looking to gain hands-on experience in the field? Were looking for a motivatedHR Assistantto join our team and help drive key administrative processes that keep our department running smoothly. In this role, you'll play a critical part in managing background checks through Sterling, supporting candidates through the screening process, and delivering excellent service with every interaction. If you love working with people, have a knack for follow-up, and are eager to build real-world HR skills while completing your education, wed love to meet you!

Responsibilities will include but not be limited to:

  • Initiate and manage the background check process using the Sterling platform.
  • Monitor background check progress and conduct timely follow-ups with volunteers with outstanding tasks or incomplete submissions.
  • Provide professional, friendly, and proactive communication with volunteers and staff to ensure a positive experience.
  • Maintain accurate tracking and documentation of background check statuses and follow-up efforts.
  • Support general HR administrative functions, such as file maintenance, data entry, and assisting with document preparation.
  • Respond to inquiries from candidates and staff regarding background checks and HR processes in a courteous and timely manner.
  • Initiate and maintain ongoing communications with departments to verify or correct information and build relationships.
  • Keep up to date with the latest HR trends and practices.
  • Keep HR Manager updated on all HR initiatives, outcomes and challenges.
  • Assist in the coordination and facilitation of company events.
  • Perform other administrative tasks and duties as assigned by the HR Manager.
  • Assist the HR team with other administrative projects and initiatives as needed.

Qualifications to succeed:

  • Currently enrolled or completed a post-secondary program in Human Resources, Business Administration, or related program.
  • Knowledge of applicable employment legislation, including theEmployment Standards Act, Ontario Human Rights Code, andLabour Relations Act, as well as legislation related to Privacy issues and other applicable legislation; a solid understanding of HR best practices
  • Ability to apply HR principles in all aspects of human resources, including the ability to apply organizational HR policies and procedures

Key Competencies:

  • Interest in working for a not-for-profit organization.
  • Strong organizational skills and an ability to prioritize and complete tasks and assignments with minimal supervision and within a defined time frame.
  • Exercises considerable judgement, tact, and discretion in preparing, disclosing and handling information of a confidential and/or sensitive nature.
  • Exceptional communication and interpersonal skills.
  • Excellent time management skills.
  • Proficient with Google Workspace and spreadsheets, with the ability to quickly adapt to new software and HR platforms such as BambooHR.
  • Demonstrated ability to learn and take initiative, adaptability, approachability, and openness to self-directed learning
  • Ability to work well under pressure and meet deadlines

Working Conditions:

  • Typical working hours are 8:30 am to 4:30 pm, Monday to Friday, with some requirements to work additional hours, occasionally during evenings and weekends. It may require some flexibility to support high-impact events and programs that run from time to time
  • Travel required within Ontario or Canada for presentations, partnership meetings, conferences, etc.
  • Ability to lift and carry equipment and supplies up to 25 lbs
