POSITION SUMMARY

Reporting to the Director of Finance, the Administrative Assistant will be responsible for day-to-day tasks within the finance department, as required by other team members. Tasks will be largely focused on departmental organization, scheduling, communication and data entry. Most reporting requirements utilize MS Word and Excel, so working knowledge of these programs is required. This role will also be responsible for working alongside the Development and Communications team on donation tracking, grant management and tax receipts.

RESPONSIBILITIES & SCOPE OF EMPLOYMENT

Assist with weekly cash count and manage petty cash

Maintain departmental filing system

Assist with donation software data entry, monthly credit card donations, and year-end tax receipts

Data entry for rent collection using lease management software

Produce company expense statements as needed for posting and reconciliation

Assist with job cost tracking and reporting for all grants

Attend departmental and/or other meetings as required

Maintain calendar and schedules for the departments

Answering phone calls and returning calls as needed for the departments

Assist with other departmental needs as required

EXPERIENCE AND EDUCATION:

minimum high school diploma is required

basic knowledge of MS Excel, Word and Outlook skills is required

some experience with finance related tasks is an asset

2-4 years of experience preferred

SKILLS REQUIRED:

Excellent organizational skills, including strong problem-solving, and analytical skills; able to manage priorities and workflow

Good interpersonal and communication skills and the ability to communicate to a variety of groups

Knowledge in preparing reports, and ability to maintain up-to-date files and information

Ability to meet deadlines, take initiative, multi-task and be self-motivated

Ability to work as part of a team
