The HR Business Partner will provide direction and support to leadership and employees throughout our Toronto distribution facility. This role will assist in all human resources functional areas, including employee relations, performance management, talent planning, hiring/onboarding and benefits enrollment.

Responsibilities:

  • Partner with the management team on employee engagement initiatives, employee relations issues, performance management and coaching
  • Handle sensitive employee relation's issues swiftly and confidentially ensuring a balanced approach to problem resolution. Provide solutions regarding all employee related issues and concerns
  • Management the end-to-end performance management process including goal setting, performance review and salary planning.
  • Assess and maintain payroll budgets, merit increases, annual bonuses
  • Recruiting – Handle full life cycle recruiting for Canada including sourcing, screening, onboarding.
  • Work with managers regarding performance issues, disciplinary action notices to ensure that consistent standards are in place and being met. Track turnover and communicate trends
  • Consultant for all involuntary terminations.
  • Manage onboarding of all new associates. New Hire Packages/Orientation for new employees
  • Conduct Exit interviews and off-board exiting associates.
  • Full cycle recruiting for hourly/salaried/temp positions, interviews, job postings, reference/background checks, liaising with various temp agencies
  • Update Employee Handbook yearly, and miscellaneous policies outline by OHSA, ESA 2000, OHRC etc.
  • Enter new benefits online, provide staff with necessary paperwork, make changes to existing accounts, and maintain online files including eClaims, receipts etc.
  • Transmit Full-Cycle Payroll Bi-weekly for all staff through Ceridian PowerPay & DayForce Web, year-end reconciliation documents EHT/WSIB/CNESST/RRSP/T4/T2200/Revenue Quebec/ generating ROE's
  • Reconcile expenses/bonuses/commissions for payroll
  • Manage disability process (WSIB, WCB, STD, LTD and CSST) with insurance carriers.
  • Make sure that all policies and procedures are being followed, updating policies as required
  • Track all vacation, sick and lieu days for all staff through online Ceridian payroll platform
  • Maintain and enroll employees in benefits/RRSP, update premiums, update payroll changes
  • Stay current with all Ontario/Quebec Labour Laws and the Employment Standards Act, 2000
  • Complete all Job Descriptions and perform compensation analysis using PayFactors tool.
  • Arrange equipment for new hires, such as phones, laptops, access cards, air cards etc.
  • Responsible for Health and Safety in the Office/Warehouse, including CPR/First Aid, WHMIS and Emergency Response training, WSIB and creating the JHSC, H&S, AODA, Fire Plan training for all associates
  • Learning & Development – design and deliver various training programs, as requested.
  • Responsible for arranging annual fire drills, warehouse machinery licenses, track renewals, monitor security and alarms of the facility
  • Responsible for running the JHSC Joint Health & Safety Committee for H&S of both Montreal office and Vaughan Office and distribution center
  • Responsible for training staff on emergency closures, inclement weather situations
  • Social Committee, ensure coordination of meetings and events taking place, employee engagement

Office Management

  • Maintain the office space including the Boardroom, kitchen, printer areas and Promo Room
  • Organize and maintain a professional and functional office space and work environment
  • Arrange for the general maintenance, repairs and upkeep of the building
  • Daily Bank Deposits and Credit Card Transactions
  • Order all office supplies, purchase furniture etc.
  • Sort and distribute all mail, manage postage machine i.e.. Load postage, trouble shooting
  • Responsible for Security within the building (Access Codes, Key Cards, ADT issues, Security Cameras)
  • Social Committee (Event planning, birthdays, Christmas party, Lunch & Learn sessions, Health and Wellness)
  • Create PO #s in SAP and receive them in the system
  • Reconcile monthly AMEX statements and expenditures
  • Liaise with kitchen/cleaning vendors, ensure office areas are stocked, order stock
  • HVAC/Heating is maintained, working with various office vendors
  • Provide IT support for missing equipment, trouble shooting
  • Managing customer lockbox for cheques, bank deposits, invoice approvals, employee purchases

Qualifications:

  • Bachelor's Degree in HR, Psychology, or related discipline and 3-6 years HR generalist and payroll processing experience
  • Strong expertise in Word, Excel, PowerPoint
  • Ability to present and facilitate training sessions
  • Problem resolution skills
  • Maintain utmost confidentiality between employees and management
  • Exempt position, must be able to work overtime, and/or weekends as required
  • Must have a vehicle, and be able to travel (Montreal once per month), occasional to US
