Title: Accounts Payable/Administrative Support

Purpose:

  • Accounts Payable - Process Accounts Payable invoices and payments, verify invoices and perform account reconciliations, recordkeeping, reports, and other documentation.
  • Admin Assistant - Provide administrative support to ensure efficient operation of the office.

Role:

  • Receive and verify AP invoices with Purchase Orders and Packing Slips (three-way match). Irregularities are to be addressed with the appropriate department personnel or vendor as required.
  • Process AP invoices in the ERP system
  • Ensure outstanding balances are updated with credit memos that are due.
  • Verify vendor accounts by reconciling monthly statements and related transactions.
  • Maintain historical records of all documentation by saving documents in filing cabinets and on the network.
  • Provide weekly updated AP aged Trial Balance to the Controller for Cash Flow update and Payment Run proposals.
  • Collaborate with another member of the accounting team to ensure accurate and timely processing of the approved payment run, print cheques, and match them with corresponding invoices, and obtain appropriate signatures.
  • Log all incoming cheques onto an EXCEL spreadsheet.
  • Respond to emails to ensure timely communication with vendors and team members.
  • Perform bank deposits.
  • Assist in audit activities to meet departmental program objectives.
  • Answer phone calls and direct to the appropriate personnel, schedule meetings
  • Carry out administrative duties such as filing, copying, scanning etc.
  • Receive, sort, and distribute Incoming and outgoing mail and faxes.
  • Make arrangements and follow-up on courier pick-ups/drop offs as required.
  • Monitor and order office and kitchen supplies.
  • Welcome and support visitors.
  • Coordinate employee luncheons, as required.
  • Organize monthly birthday celebrations.
  • Handle sensitive information in a confidential manner.
  • Other duties as assigned by your manager.

Education and Experience:

  • Accounting Diploma, or working towards completion of an Accounting Diploma
  • 3+ years previous experience in a similar role in the manufacturing industry
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Excellent written and verbal communication skills
  • Good interpersonal and customer service skills
  • Proficient in MS Word and Excel
  • Proficient in accounting software; MS Dynamics an asset
